Opt-in E-Mail lands in spam?

Hello dear community,

I'm posting this here in hopes of getting some insight into an issue with our opt-in e-mails. The Support wasn't very helpful.

We have a form and landing page where people can request a whitepaper. The typical lead magnet funnel. But most leads can not receive the whitepaper because they haven't even confirmed their e-mail adress via the double opt-in. It happens more often than not, which makes me think that it's not that people refuse but rather that our opt-in lands in spam?

We have a Starter Account "Starter Customer Platform". I checked the E-Mail authenticication and it says that everything is fine, there are no errors.

Has anyone experienced something similar? Is basically our only option, to contact the leads one-to-one/manually to tell them to please remove the opt-in from spam and confirm their e-mail?

Thank you in advance for any help or insight.

Opt-in E-Mail lands in spam?

Hi @KP91,

Generally, correct, options are limited. Only with a Marketing Hub Professional or Enterprise subscription and the addition of the transactional email add-on do you get more control over the reputation of your emails and thus increase the probabyility not to land in spam: https://knowledge.hubspot.com/marketing-email/how-to-use-transactional-email-in-hubspot

As general tip in a Starter subscription, I recommend making very clear in the form submission notification text that a confirmation is required. Many companies make the mistake of stating "Thank you" and nothing else, suggesting that the process is completed. Many contacts simply do not understand that the confirmation is required. Instead, use something like "Almost done! Please confirm your email address and don't forget to check your spam folder."

If that doesn't work and upgrading is not an option, then correct, reaching out one-to-one is your only option.

Besides that, what exactly is your confirmation rate? What exactly is the target group and what is the offer they're converting on? If the offer is considered a light incentive and contacts fear that they give away too much of their data by confirming their email address, that can explain low confirmation rate below 50%. Low rates can also come from ads, as contact quality is typically lower than from organic channels.

Opt-in E-Mail lands in spam?

Hello Karsten,

Thank you for your reply and all the tips. I already figured that the reason could be also the fact that we merely have a starter package, thank you for confirming that. I've worked with Hubspot in a previous company where we had professional or enterprise and I don't remember having that much trouble with e-mails.

BUT, that being said, I just checked our "Thank you" page that the lead is being directed to after filling in the form, and you are right again. It only says "Thank you, you will receive the whitepaper in your inbox." We really didn't mention the opt-in. Bit stupid of us, really. So I'm going to change it.

To answer your other question: We work in B2B (selling software to small companies). The form is for a whitepaper on topics concerning ERP software. It's supposed to generate leads that we can follow up with via phone. The leads come in via Google ads. But as you've mentioned correctly, the sales team has said that the leads that do come in aren't of great quality or aren't serious about purchasing software.

I have a last question, just so I can also pass this on correctly to the sales team: It is already affecting our e-mail sending reputation and further deliverability if the leads leave our opt-in e-mail in the spam folder, right? Cause my colleague suggested just sending the whitepaper manually to a lead in a one-to-one mail (basically leaving the opt-in e-mail in spam and not bothering to confirm it anymore). But I fear that would derail our rep and potential future e-mails.

Thank you again for your help!
