SOLVE

I am trying to report for the month of May.
And there is a total number of tickets of 216 but when I export to have a look at the group names there are less tickets.

but the exported Excel file only includes 40 tickets grouped by club name. 

Please help

I understand you're seeing a difference between the total ticket count (216) and what appears in your exported file (40 tickets). This is actually expected behavior in HubSpot when working with grouped reports. Let me explain why this happens and how to get the complete dataset you need.

When you group by a property (like "Ticket group name") in a summary report, HubSpot exports only the aggregated/grouped rows, not the individual ticket details. That’s why the export might show fewer rows than the actual ticket count.

To get the full list of individual tickets, it’s better to export the raw data instead of the grouped summary. Here’s how you can do that:

Steps to Export Full Raw Ticket Data:

  1. Go to Reports > Reports Home

  2. Create a custom report using ticket properties (without any grouping)

  3. Apply your desired filters (e.g., May date range)

  4. Export this dataset – it will include all 216 tickets individually

If you’d like both the summary by "Ticket group name" and the detailed ticket list, I recommend exporting two reports:

  • One grouped (for summary)

  • One ungrouped (for raw data)

You can then use pivot tables in Excel to compare or analyze both together.
