Number of sales activities completed per time period by company

SOLVE

Hello,

I'm managing a team of account managers who own a fixed list of accounts. To monitor their work efforts, I need to understand how frequently they're in touch with the companies they've been assigned to manage.

To do that, I'd like to see their entire account list (approx. 200 companies) in a table displaying each type of sales activity they've completed over a given timeline. Importantly, only the sales activities they've personally completed should be visible. I want to avoid giving them credit for calls or meetings held by our service department, for instance.

Ideally, the timeline is adjustable (i.e., I can see all activities completed today, yesterday, this week, this month, last month, etc.) and can be incremented to show trends (i.e., I can see how many activities were completed daily over the last # days, weekly over the last # weeks, monthly over the last # months, etc.).

The final report would look something like this, though I understand if the various sales activities need to be displayed in separate reports:

 Time Period 1Time Period 2Time Period 3
Company A
  • # of Calls placed by owner of Company A to contacts associated with Company A in Time Period 1
  • # of Meetings held with contacts associated with Company A by owner of Company A in Time Period 1
  • # of Tasks associated with Company A completed by owner of Company A in Time Period 1
  • # of Calls placed by owner of Company A to contacts associated with Company A in Time Period 2
  • # of Meetings held with contacts associated with Company A by owner of Company A in Time Period 2
  • # of Tasks associated with Company A completed by owner of Company A in Time Period 2
  • # of Calls placed by owner of Company A to contacts associated with Company A in Time Period 3
  • # of Meetings held with contacts associated with Company A by owner of Company A in Time Period 3
  • # of Tasks associated with Company A completed by owner of Company A in Time Period 3
Company B
  • # of Calls placed by owner of Company B to contacts associated with Company B in Time Period 1
  • # of Meetings held with contacts associated with Company B by owner of Company B in Time Period 1
  • # of Tasks associated with Company B completed by owner of Company B in Time Period 1
  • # of Calls placed by owner of Company B to contacts associated with Company B in Time Period 2
  • # of Meetings held with contacts associated with Company B by owner of Company B in Time Period 2
  • # of Tasks associated with Company B completed by owner of Company B in Time Period 2
  • # of Calls placed by owner of Company B to contacts associated with Company B in Time Period 3
  • # of Meetings held with contacts associated with Company B by owner of Company B in Time Period 3
  • # of Tasks associated with Company B completed by owner of Company B in Time Period 3
Etc.Etc.Etc.Etc.

Is this possible in Hubspot?

Number of sales activities completed per time period by company

SOLVE

@BKlinger - This sounds like a pivot table with some custom fields.  The custom fields would be calculated fields around the time periods you want. Then you will need to collate the activities which should already exist for what you want. A filter for the users related to those activities should allow you to filter to what you need.

If you have CMS Professional you might be able to create this using HTML to get you some of the exact results you need.  This isn't an out of the box function unfortunately but with some work it is possible to get to a usable solution for your needs.

Another way to do this would require upgrading as a lot of functionality for custom reporting is available. That is probably not the ideal so I would try to work with what you have.

Number of sales activities completed per time period by company

SOLVE

@BKlinger I see this has been marked as solved, but I'm not sure it's completely settled yet.

So here's an idea you can try for the type of report you want.

You want to look into the number of calls, meetings and tasks associated with each company so that you can track business progress: My suggestion is to create a custom HubSpot report.

In this report, activities would be the main object and companies would be the secondary object. This will allow you to display a table. For example, a table showing total activity counts broken down into calls, emails and meetings by company.

Next in filters: set your desired activity types and date filters (like activity date) to match your mentioned ranges like last week or whatever suits your needs best.

Finally, a useful filter will be the HubSpot Team; meaning your sales teams which can help separate them from other teams working on the platform sending emails and making calls.

I believe this approach should get close to what you're looking for - give it a shot and let me know how it goes!

Here's a sample report
