How to track weekly new 0utbound 0utreach activity by rep (new contacts, no open deals)

Hello,

I’m trying to create a weekly report to track how many new contacts each sales rep has reached out to during the week — specifically:

  • The contact has no open or won deals at the beginning of the week (they may have Lost or Unqualified deals).

  • However, if during that same week the contact converts into a meeting or a new deal is opened, they should still be included in the outreach count.

The goal is to understand how many new people each rep is reaching out to every week, regardless of whether a deal is created later.

I’d love your advice on:

  • How to best build this report in HubSpot (custom report vs. list + workflow).

  • What filters or properties to use for accurate tracking.

  • How to include cases where a contact was first touched and later converted to a deal in the same week.

  • And more broadly: how do your teams track Outbound Outreach activity overall?
    Is there a best-practice method or dashboard setup that works well for you?

Any tips, examples, or templates would be greatly appreciated!

The most accurate way to track “new contacts each rep reached out to this week” even if they book a meeting or open a deal later in the week is to stamp the first outreach with a custom property + one-time workflow.

1) Create a contact date property: First Outreach Date

2) Workflow to stamp the first touch:

  • Trigger: Last Contacted is known AND Last Contacted is less than 1 day ago

  • Additional filter: Contact has no open or won deals at that moment

  • Action: Set First Outreach Date = Date of step

  • Re-enrollment OFF (so it only stamps the first outreach)

This stamps the exact date a rep first reaches out to a “net new” contact for the week even if they convert later the same week.

3) Weekly report:
Custom Report (Contacts + Activities) → Filter First Outreach Date = This week → Break down by Contact Owner.

 

This gives you a clean, reliable weekly count of new outreach per rep.

To capture weekly outbound outreach accurately, use a custom report in HubSpot that filters for activities (Calls, Emails, Tasks) logged this week and then adds a Contact filter for Deal Status (None of Open/Won), letting the activity date naturally capture first touch even if a deal starts later.
