Closed Rates by Sales Rep

SOLVE

Hi HubSpot Community,

This might be familiar to some, but I wanted to share a small breakthrough we had and get feedback on how to improve it.

Our sales leadership team requested close-rate reports per rep, ideally displaying all reps (or teams) at once, which made pie charts less effective. We define close rate as:

Closed-Won Rate = (# Deals Closed-Won) / (# Deals Open + # Deals Closed)

Since HubSpot couldn't generate these reports per rep, we integrated Google Sheets via HubSpot Workflow to pull data, perform calculations, and share weekly reports. However, this required manual updates, and recreating workflows for different requests became tedious.

To streamline this, I created a custom calculated deal property using the formula above. Initially, the values were off (percentages in the thousands), but adding the calculated field to the report corrected the issue, and we now have a working report (ex. below):

Current challenge: I’d like a single property for "All Deals" per rep (combining Open and Closed deals). I created another calculated property to sum the two, but it isn’t populating in the report.

Has anyone experienced this or found a more efficient way to report close rates by rep? I'd love to hear your insights!

Thanks in advance!

Hi Theresa,
You can create custom calculations and aggregate data using summary functions
I would suggest that you look into using summary functions

Hey there! A workaround I'm currently testing is a calculation property that uses the IF function in the deal record like so:

Someone had suggested creating a report showing the Forecasting probability Average, but that only worked for closed deals, not all deals created in a period of time.

The logic did appear to work, so I created the property above to be set to 100% when the deal was closed won, and 0% otherwise. So now, creating a report showing the average of that calculation property shows the true close rate:

This should work for those who don't have access to Datasets. Hope this helps!
