Cleaning up dashboards and reports

SOLVE

I'm trying to organize an ever growing list of reports and would like to remove unused ones. Is there any way to pull reports ON reports or dashboards (last viewed, last updated, total views, etc) either within Hubspot or the API? I'd be thrilled if I could at least pull a CSV.

Hi @fierceweek,

 

Not for export, but you can see this information for reports by navigating to Menu > Reports > Reports (columns Last viewed / Last updated).

 

For dashboards you can find this info by navigating to Menu > Reports > Dashboards > Manage Dashboards (below buttons in the top right corner).

Then:

The moment you open a dashboard or report, Last viewed will update.

Hey @fierceweek just to confirm, are you looking to find out which reports have been viewed by a HS user in your account? If so, that's not something that can be done in HS or through an API. 

 

If you navigate to Reports > reports however you can see reports based on when they were last updated however (this means the report filters/views were updated by a user, not when the data last updated them). 

On the panel on the left you can also see reports which are present on dashboards from here too.

I'm trying to gauge which reports are still being used and which ones could be merged into a single report with filters by user/team. Seems like there's very limited support within Hubspot for pulling stats on reports/dashboards short of looking at when it was last viewed/last updated by a user.

Yeah there's no real automated tools within HubSpot to manage "enagement" with a report, this really is down to the HubSpot users/admins to manage which they feel are important/impactful to their teams. It's not HubSpot logs are the moment.

That's true, managing engagement with reports in HubSpot requires manual effort from users/admins.
