Trying to merge two fields

I am looking to merge two fields we have for contacts, or have one disabled and the data from that one transferred to the other field. We currently have a 'Company Name' field and a 'Primary Company' field. I would like there to be only one field that states what company a contact is from as it is causing issues when trying to sort our data. Is there a way I can do this without doing it manually?

Hi,

 

Thanks for your help. 

 

I am wondering if I create this workflow and it messes up some of our existing data if there is a way for me to reverse it. I just want to ensure that if I make this change I am not messing up the existing data we have.

@JFair that's what this part is referring to:

 

  1. Create a contact-based workflow that copies enrolls contacts when "Company name is unknown and Primary company is known" (if you believe that "Primary company" has better data quality, simply remove "Company name is unknown)"

If you specify "Company is unknown", only empty fields will be filled. If you remove this, filled fields will be overwritten, too.

Thanks for your help.

 

I will need the workflow to run the other way where it is filling unknown 'Primary Company' fields with the data in the 'Company Name' field. How can I run this workflow without it impacting our current data?

@JFair you haven't confirmed whether primary company is the associated record or a custom property, can you please clarify?

@JFair both are default fields in HubSpot, they cannot be merged.

 

You can however create a contact-based workflow that pulls the value from the contact field in case the company does not have a name.

 

  • Enroll contacts when Company name is known and at least one associated company has Company name is unknown
  • use the copy property value action to copy the value from the contact into the company field

Hi @JFair,

 

Just to confirm, you're not referring to these two, are you?

The first is the association between contact and primary company record. Company name however is a contact property. These two cannot be consolidate. One is documenting what the associated record is called, one is documenting on the contact record what the company name is. And yes, unintuitively, these aren't linked unless you set up a workflow to copy the value of the associated company name into the contact field.

 

If you're not referring to these but actual two contact properties, "Primary company" and "Company name", then I'd recommend the following:

  1. Create a contact-based workflow that copies enrolls contacts when "Company name is unknown and Primary company is known" (if you believe that "Primary company" has better data quality, simply remove "Company name is unknown)"
  2. Use the "Copy property value" workflow action to copy the value from "Primary company" into "Company name"
  3. On the contact index page, bulk edit all records to clear the "Primary company" field
  4. Archive the "Primary company" property (you might have to remove references from forms, lists etc and replace it with "Company name" first)
