Team Membership Question

SOLVE

Hello, 

I am building out my Teams structure, which should be very simple, but I ran into an issue before so I want to make absolutely sure I am setting this up properly. 

 

Our company has regional sales people that have geographic territories all over the United States. We have setup a Hubspot Team for each Territory, named it approrpriately (Southeast, Mid-west, etc) and made it the Main Team for the Hubspot User account of the sales person that handles that territory. Then we assigned each of our Contacts to their appropriate Team, so that the Hubspot User ONLY sees the contacts within their team. 

 

We have other users - admin type - that see all contacts by their permissions settings, so we did not add them to any teams. 

 

We now have a need to have some "global contacts" - essentially contacts that anyone in the company can see and access. This is not an issue for the admin type that see all, but I want to figure out the best way to setup the territory users to also be able to see this. 

 

My plan was to create a Hubspot Team called "Global" and then add everyone in the company to it, and then assign the contacts that everyone in the company should see to that team.

 

This SEEMS like it should work, but early on in our Hubspot launch (we are only 2 months in) I setup something similar, and it seemed to mess up a LOT of contact assignments and some of our teams lost contacts to Global, etc. 

 

I just want to make sure that this doesn't happen again. Am I setting this up correctly to accomplish what I want? Does adding the territory people to a SECOND team (global) mess up anything for them? Anything I should watch out for?

I would solve this through sharing contacts via workflow: https://knowledge.hubspot.com/records/share-records#share-records-via-a-workflow

 

I would not recommend the route of an additional team as that will also be the basis of team only access permissions - and effectively, all sales users will be able to see all contacts owned by other team's users as well.
