1) email@example.com is the main admin email and another user firstname.lastname@example.org is sending emails through the Task option (under the sales menu) and the email tasks is assigned by admin email@example.com. But firstname.lastname@example.org is sending via common email email@example.com.
2) The issue is if email sent via firstname.lastname@example.org so under the outlook the sent emails is reflecting, but if another user is sent emails via task option and selected the common email email@example.com for sending emails, then sent mails are not reflecting under the outlook.

To make sure the user firstname.lastname@example.org can send emails from the address email@example.com which will also appear in the Sent folder in Outlook, you would need to connect that email inbox with your HubSpot account for both users.
