Search feature very limited

I'm completing onboarding my company on Hubspot and I am impressed with how user friendly it is.  I'm overall very happy with the CRM and the support.

However, there's a huge limitation in the search feature.  There needs to be a search that searches across all properties.  As it is now it only searches contact name, company name, deal name.  I know there are work arounds, but they are clunky at best (i.e. using filters to find say a PO number but even then I have to enter exactly the PO number...no "contains").  Sometimes I need to search keywords that might be present in different properties.  This is a pretty disappointing limitation.  I wish I had realized this earlier; it might have been a deal breaker. 

  • Has anyone else been taken aback by this search limitation? 
  • Does anyone have a less clunky work around? 
  • Has anyone requested an improvement to the search tool, or an advanced search tool? 
  • What do I do to go about formally requesting this feature request/improvement?

I would love the ability to search within assets by URL as well — for instance I discovered we broke some of our pop-up forms and chatflows because we optimized a blog article and changed the URL. If you could search for that URL in HubSpot to know that it was part of a pop-up form or chatbot's targeting settings, that'd be amazing!

Hello @kwilhelme , you refer to the search bar or to a property for example check-in a list?  The more information, screenshots, and details you can provide, the better I can advise on the next steps.

Search feature very limited

Hello, I'm looking to see all the places where a URL is used. For instance, if you could use the search bar or elsewhere to see this URL is used in XX pop-up form and XX chatbot and linked to from XXXX other internal blogs/pages. I am not aware of this feature existing today but it'd be extremely helpful. Thanks!

The global search bar at the top right of the GUI is helpful. However, a list/lists can be pulled to assist in this with some expertise involved. What is the ultimate goal? IE: Are you trying to block your own domain, another domain, research, etc.?

The search function needs to also work in deals - right now search in deals only returns on the name or the deal description

Hello,

For really important properties like "PO#" you can copy that field into a task via workflow. You are then easily able to pull reporting, will show up in the global search bar under "activities", etc. 

 

If you give me examples of what properties you want to search for, I may be able to give you some more ideas.

IE: contact property x, contact property y, company property z. etc.

Agreed - a bit of a shame the better search isn't built in.

You can get a fairly detailed workaround by exporting all contact properties as an xlsx file and then searching and using the find all field feature in excel.

A bit clunky but it is better than most alternatives 🙂

Thanks for the quick response, Jessica.  Yes, I can use filters to search specific fields (properties).  That is the work around.  It's something, but  it is still limited because 1. It takes longer (might be on phone with customer and trying to look up their system quickly) 2. You can only select contains "exactly" so it isn't super effective (so searching notes properties for key words won't work) 3. only searches one property at a time.    Let me know if you get any other feedback.  Thanks!

We've come across this limitation as well. I certainly agree that it would be helpful to search within the content of various properties. 

 

This is available on Enterprise plans. You can create 3 searchable properties for each object type. I understand this isn't the best solution if that's the only Enterprise feature you need as it wouldn't justify the increased investment. 

 

Some of the workarounds we've used are incorporating important searchable elements into the properties that are already searchable. For example, some of our clients aren't integrating their ERP system with HubSpot yet so they add the ERP job number to a deal title in HubSpot to find and reference it via search. Not perfect, but it works in some scenarios.
