Outreach Process Automation

For our cold-outreach, we have several different email accounts that all go through the same Hub from Hubspot and send emails to prospects.

In the email, the prospect can use a Hubspot meeting link to schedule a call with the sender.

We want to capture who books a call with whom and track that progress over time.
How can I make this happen?

Is there a way to set up that once a potential customer books a meeting with a member of the team, they are automatically added to the CRM and assigned a property such as "Booked Meeting" and then added to an active contact list based on that property? Would it then also be possible to set up a dashboard that shows how many people have booked a meeting in each month of the year and with whom? Basically, we want to track our progress across the month, but also across team members.

Another tricky point is that we use the links to the meetings not only for this particular campaign, but in general for all meetings. Is there still a way that only the people who book a meeting through one of the cold-call emails are included in the "meetings booked" contact list. Because otherwise we would have to go through the contact list and filter out all the contacts who did not book a meeting because of our outreach campaign.

Many thanks 😁
