Onsite meeting reporting per customer

Hi all

 

We're looking at Hubspot, not sure which package yet but perhaps you can help. 

 

One thing that I need to know is whether it's possible to report on two metrics, both related. We need to report on how often each Client organisation (not contact) has had an onsite meeting. So each customer should be met with once a month or so, some more often, some less often. 

 

Conversely we expect one of our teams, the account managers, to be out meeting clients and addressing their needs, mainly in person. So we need to report per-user on the number of onsite meetings. 

 

Clearly this is separate to online-meetings, or phone calls etc. 

 

Is it possible in hubspot to do that? It would need to be able to differentiate between types of activity (calls, online sessions, onsite sessions etc) and then report on it. If it can help, which version should I look at?

You can log and report on meeting activities against both contact and company records in Hubspot. To differentiate between onsite meetings and Hubspot's default meeting types you can create custom 'call and meeting types' e.g. create a meeting type called onsite: https://knowledge.hubspot.com/contacts/how-do-i-create-and-use-call-and-meeting-types


You would then use a reporting widget in a reporting dashboard to show the number of meeting activities logged by your users on company records, and another for contacts records. It would look something like this.

Which Hubspot subscription you need depends on a number of things but from this reporting point of view you will probably need Hubspot Marketing Pro (though you could also achieve this with Marketing Hub Starter and the Reporting Add-on) which includes 2 dashboards, including 10 reports per dashboard (custom or out-of-the-box reports) - you need to be able to customise a report to achieve the above.

 

The Hubspot pricing page contains further details on features included at each subscription tier and a calculator to help understand the best subscription level based on the number of contacts you will add to the CRM. If you need further help with this though, feel free to drop me a message.

Hi @DTsang 

I believe when I created this report it was using the cross-object report, which has now been replaced by the custom report builder. The custom report builder doesn't include associated contacts or associated companies properties.

 

In the custom report builder, you could create a report with Contacts as the primary data source and include Companies and Sales activities as secondary data sources. From there configure the report something like the following

This will give you a report of meetings filtered by meeting type with contacts first name which will allow you to drilldown to see company name.

 

If you wanted a better identifier of the contact you could use email address or if you Operations Hub Pro (or Enterprise - or a third party tool like Zapier) you could create a workflow to combine first name and last name into a Full Name property, which you can then display or filter against in the report.
