Not able to filter by company properties in Tasks view.

SOLVE

I have created many tasks across several regions that we serve to follow up with clients. I've been instructed to focus on following up with clients in one particular region. I would love to filter down tasks to that region but there is no option to filter by anything other than the few limited properties they've provided to choose from.

In HubSpot, each object (tasks, contacts, companies) have it's own set of properties. Tasks don't automatically "see" or inherit properties from the object it is associated with. This is why when you go to filter tasks, the only options are task title, due date, assigned to, task status/priority. 

 

A workaround that you could put in place to filter this way is by setting up task queues. Queues are a way of filing tasks as you'd like. Here's an example: 

Create a queue titled South West Region

Any task created that is associated with a contact that is located in South West Region would then be added to that queue. 

 

At this point you would be able to filter and create views based on regions.

Totally get why you’d want to filter tasks by company properties — that would make follow-ups way easier!

But unfortunately, HubSpot’s Tasks view only lets you filter by a limited set of properties directly on tasks, and company properties aren’t included there.

  • Create a custom view or report that lists tasks alongside company info, filtering by region there.

  • Use saved filters on your company or contact lists to narrow down by region, then click through to tasks.

  • Or add the region info as a task property or a tag when creating tasks, so you can filter tasks by that field.

It’s a common limitation, so tagging tasks with region info when you create them can be a simple workaround.

As far as workarounds go, they depend on how exactly you want to continue working with these tasks.

  • If you're "only" analyzing, and don't need the ability to edit the tasks during your analysis, you can create a custom report with data sources for tasks and companies, display tasks by date, status etc and filter the report by company properties / break down the visualization by company properties. https://knowledge.hubspot.com/reports/create-reports-with-the-custom-report-builder
  • In the future, if you want to be able to filter tasks from a specific region in the task tool, I'd recommend either making sure they include a country identifier (e.g. two-letter country code) – this can be done in an automated fashion, by the way, using a task-based workflow. This would enroll tasks based on the association to a company, then check which region that company belongs to in a branch, then use the 'Edit record' workflow action to append a two-letter country code at the end of the task title, for example.
  • Alternatively, place these tasks in a country-specific queue: https://knowledge.hubspot.com/tasks/use-task-queues

Yep, that can get annoying real quick when you're trying to stay focused and the filters just won't help. Are you making these tasks by hand, or are some coming from workflows?

Right now, HubSpot doesn’t let you filter tasks by things like region from the company record. But here’s something I’ve done before that helped:

Try putting the region name right into the task title or notes. For example, "Southwest - Follow-up." Then you can just search for the region in the task list and pull up what you need.

Another idea: create task queues based on regions. You’ll need to assign them manually, but once they’re in a queue, it’s much easier to stay organized.

If you are using workflows, there might be a way to tag tasks automatically. Happy to help with that if you want to go that route.
