Logging future dates but not in a task

SOLVE

Part of our business is annual inspections. I would like to log these inspection dates in HubSpot so we can follow up next year. I do not want to create a task as that will clutter up quickly.

To be clear, these are not inspections awarded to us. If that was the case we would use our service software.

As we do other work with these clients, etc we hear about the inspection dates. We would like to document these dates and follow up later.

I was thinking a custom field/property and and maybe run a report monthly?

I think you are spot on with the custom date picker property. There are a few things that you can do from there to help make the information more automatic for your team OR automate the process.

 

1. Create an active list of inspection date is x days from now - you can do this by sales rep or as a comprehensive list of all contacts depending on your process. That way your data is on-demand and you know exactly who is in your queue to talk to that week or month or quarter.

 

2. Create a workflow to automate tasks for your sales team triggered on inspection date being x days from now. (you can decide if that task is for sequence enrollment, email, phone call or updating contact record)

 

3. You can also approach it from a place of customer service and enroll them in a nurture workflow based on their inspection being x days from now with helpful resources for an inspection and a later call to action to talk to a team member for help with inspections.
