Logging emails on a deal / associating contact to a deal

Hi All, 

During a regular touchpoint with my sales team, the following question came up: 

 

What is the advantage of assigning a contact to a deal? 

My first thoughts are the following: 

- tracking purposes - if deal needs to be reassigned to another person, all stakeholders are recorded

- email logs - this is allowing 

- marketing campaigns KPIs - to calculate influenced revenue

Are there any other I may have missed? Why would someone not want to make that association? 

 

The second question is the following: 

I want to log an email thread with an associated contact that relates to a specific deal, but there are other email threads that get automatically pulled in. How to keep only the relevant one? 

 

My assumption is that they check the box "add timeline activity from contact to this deal (as below)" and this is causing the issue. Should this box be unchecked by default? 

How to "un-check" it after the deal was already created? so that activity data remains clean and pertinent?

I simply needed to share the aftereffects of the test I made toward the beginning of today:

1. I made 2 faker arrangements and related a similar contact to them. In one case I checked the container - track all contact movement on an arrangement, on another - box unchecked.

2. I sent a test email to contact. True to form, it got recorder as contact action on one arrangement, however not on the other.

3. I then, at that point went to my Outlook inbox and sent an email to the contact from that point. In HubSpot deals augmentation, I decided to relate it just with that solitary arrangement (not record on contact name, nor organization, nor the other arrangement).

4. It got accurately recorded on the arrangement I needed, however not on the other. It's not apparent on the contact movement feed, nor organization.

Except if there is something that I'm feeling the loss of, this is turned out completely great? I don't think we need any enormous workaround.

specially around associations with this last update.

@JJohn2 this aligns with the tests I made myself. Thanks for sharing. Are you a Mac or PC user? I can see that our Mac users don't have all the options available with the extension in Outlook...

Hi @Lucila-Andimol 

 

I just wanted to share the results of the test I made this morning: 

1. I created 2 dummy deals and associated the same contact to them. In one case I checked the box - track all contact activity on a deal, on another - box unchecked. 

2. I sent a test email to contact. As expected, it got recorder as contact activity on one deal, but not on the other. 

3. I then went to my Outlook inbox and sent an email to the contact from there. In HubSpot sales extension, I chose to associate it only with that single deal (not record on contact name, nor company, nor the other deal). 

4. It got correctly recorded on the deal I wanted, but not on the other. It's not visible on the contact activity feed, nor company. 

 

Unless there is something that I'm missing, this is working perfectly fine? I don't think we need any big workaround.

@Lucila-Andimol It is available to myself, but not all sales users (weird!) - is this because of any beta testing? or operating system. 

I use outlook on windows, sales use outlook on a mac (and they cannot do it).

i dont think its mac or pc related (I used Mac too, and I see it)

Perhaps they need to update outlook and the Hubspot sales extention?

To dive in a little deeper into the second question:

Right now this is very manual. The firt instance is (as you say) uncheck the "add timeline activity to deal"

this way you wont have all the contact's activity in your your deal.

once in the deal, you can place yourself on the email that matters

check "Associations" and there you can check / uncheck a contact association or a deal association

 

Provided, the box is unchecked when deal is created and contacts are associated with the deal. 

Our reps use Outlook to send most of their emails, they have Microsoft 360 add-on that shows Sales Tools in Outlook directly. When they send a new email thread to contact regarding that particular deal, is it then where they need to check the box "Log in to" and select "Deal" rather than a contact as an object to associate with?

So, right now it is not possible to do this "natively" with the sales extention.

But, here's a workaroud for some time ago,

this works with an email alias to be associated with the deal

perhaps this can help in the meantime?

I'll also suggest you to put this as an idea in the forum

for the product's team to have it in consideration for the next app update.

lets go...

The main purpose here is to know/to be associated with the decision maker

this way you can always know who to talk to in each account/contrat/deal.
