Logging Emails

SOLVE

Hello,

My company has tried to achieve this in the past and we ran into a roadblack a couple months ago. We would like to log emails automatically in order to build our contact database without having to manually create contacts.

Our main hurddle is logging the emails shows the email on the activity feed. Has anything been changed in hubspot on the way emails are logged or is their some kind of restriction we can put on users in order to prevent them from seeing the emails?

Thank you

Logging Emails

Hi @DHeinlein,

Emails can be logged automatically via the HubSpot Sales extensions: https://knowledge.hubspot.com/connected-email/how-to-install-hubspot-sales

HubSpot does not differentiate between contact viewing permissions and email viewing permissions. If you don't want someone to be able to see emails, you need to adjust their permissions in a way that they don't see the contact, see here:

https://knowledge.hubspot.com/settings/hubspot-user-permissions-guide#object-access

https://knowledge.hubspot.com/settings/edit-user-permissions

In other words, if someone can see a contact, they can also see all emails on that contact.

Logging Emails

I don't think you got an answer for your question.. In case I'm right and you mean, incoming email that doesn't belong to an existing thread is not being logged in HubSpot, this is expected and how the feature works. Logging is only for emails you send and other emails can only be logged manually by ticking the box in the Sales extension, or by forwarding to the CRM.

Logging Emails

Hey @DHeinlein

It sounds like you're looking to automatically log emails to build your contact database in HubSpot, but you're facing issues with the emails appearing in the activity feed and potentially being visible to users.

This is possible in HubSpot to log and track emails automatically with the HubSpot sales chrome extension:

You can check this Knowledge to understand how to implement this in your portal: https://knowledge.hubspot.com/email-tracking/track-and-log-emails-with-the-hubspot-sales-chrome-exte...

Let me know if you have any follow-up questions. I'd be happy to help.
