Limiting Associated Companies when Deals are Closed Won

I'd like to be able to limit the number of associated companies to 1 when Deals are being moved to Closed Won. 

 

We're a SaaS company and each Company should equal/ be linked to an Account. There are sometimes instances where a Deal is being associated with multiple companies (like an Agency and their Clients, rather than just the Agency) and this causes issues down the line (for instance, it's triggering workflows to assign CSMs to companies incorrectly). 

 

So, similar to how we're able to set properties that have to be updated before a Deal can be marked Closed Won, we'd like to add a restriction that ensures there's only 1 associated company before moving to Closed Won. And, if there are more than 1 companies associated with the deal,  we want to prevent the rep from moving it to Closed Won until they resolve the association issue.

Which subscription level are you on? With an Enterprise subscription, you have the tools for blocking a deal from moving on if the number of associated companies is greater than 1.

 

Let me know and I'll happily outline the solution, involving a custom view-only property and required deal stage properties.

 

Without a Professional subscription, it would only show up as a friendly reminder but could be bypassed. Let me know if you're still interested.

We have Sales Hub Professional. Based on that it may be a limitation of our plan?

We create deals manually (not through WFs) so I'm not sure the first part applies to us.. We have processes in place that specifically state making sure the correct company and contacts are associated with the Deal when creating it, but it just isn't always followed. 

 

It sounds like for now creating a task as a reminder is our only option. I'll propose it as a solution and see if our VP of CS wants to move forward with that. Thanks!

Hey @torysher,

 

It seems like you want to associate only a company with a deal and not their contacts.

 

So there are multiple ways to create a deal, broadly we create them manually or through automation.

Now if the deal is being created manually then, you'll always have to select the company or contact that you want to be associated with that deal and even those options are optional by default, it's your choice if you wish to make them mandatory steps for manual deal creation.
For all the deals that are manually created, HubSpot never auto-associates them to the contact's associated company or vice versa.

 

Now, if the deal is created through a workflow, then in the create record action, HubSpot gives you the option to associate both the contact and the company to that deal. So, if you are creating deals through a workflow, then you can check that action setting and make the desired edits:

Additionally, we cannot use associations in setting mandatory properties in the deal stages of a pipeline.

 

What I can suggest here is that you create a task for the users, to maintain as a best practise, to check the deal associations before moving them to the closed won stage.
