Issues with visibility permissions across teams

Hello HubSpot Community,

 

We are facing a challenge with how we manage visibility for different sales teams and their activities in HubSpot and would appreciate some advice.

 

We have three types of sales reps:

1. Team A: Handles regular customers, and all reps need to see activities across the team.

2. Team B: Handles customers with NDAs, and only the team members working on those customers should be able to view their activities.

3. Team C: Represents an entirely separate company, and no one from Team A or B should be able to see their activities, nor should Team C have access to any activities from Team A or B.

 

The structure we want is:

Team A: All sales reps are part of this team (also members of team B) and can see all activities across countries, except for those from Team C.

Team B (NDA team): Only team members of Team B should see activities; no one outside the team should have access.

Team C: Should not be able to see any activities from Team A or Team B.

 

The issue we’re facing is that HubSpot’s nested team functionality only eliminates extra team members from reports and round-robin assignments. However, activities from Team B (NDA team) are still visible to all in Team A if they are a part of Team A.

 

As a workaround, we’ve isolated those working with confidential customers in Team B alone, but this prevents them from working with Team A on regular customers.

 

We’ve tried using the Shared Teams feature, but it only grants access to records, not activities across teams. Similarly, assigning a rep as a collaborator doesn’t resolve the issue, as activities remain hidden when the reps are part of different teams.

 

Is there a way to set up this kind of access control in HubSpot, allowing us to manage both regular and NDA customer activities without compromising collaboration across teams?
