How to remove closed deals from deal preview in a contact profile?

Hi! I want to be able to remove closed won or closed lost deals from the deal preview in a contact profile. It makes it very difficult to find current deals quickly when viewing a contact. Thank you!

Hi @tbls-amanda

Currently it is not possible to hide closed deals from the contact record without completely deleting the deal.

@Phil_Vallender discussed some workarounds for filtering closed deals in this thread: https://community.hubspot.com/t5/Contacts-Companies-Deals/Move-closed-won-and-closed-lost-from-deals...@Phil_Vallender do you have any suggestions for organizing this data on the contact record?

Hi @jennysowyrda @tbls-amanda

Beyond what was discussed on that other thread, I don't have any other ideas at the moment.

We havent really encountered this issue yet as our clients tend to have low volume, high price deals.

Good luck.

We have high volume, low cost deals, so leaving everything sitting on the pipeline is terrible for us. I have a CSV from our old CRM with over 1,000 deals in it that I want to import for historical record, but I am extremely hesitant to do that given the fact that they will all be sitting open on the deals dashboard.

Hi Linda,

I agree that this is a problem, but you mention using the Deals Dashboard... if you are on the Deals page, you can quickly add a filter where "Deal Stage" is "none of" Closed Won, or Closed Lost.

This doesn't fix anything on the Contact profile sidebar/ deal preview, but if you're looking at a lot of deals, it does display them nicely on the Deals page.

We also would like this functionality, or at the very least the default should be set to sort showing Open deals first in the view. Most of our customers have several Closed deals, however that information isn't all that relevant to most Sales people for forecast and seeing what's in the pipeline.

I agree.  This is very frustrating when you have 50 deals to contend with and there is no rhyme or reason to how they are sorted.

Has this functionality (to not be forced to 'delete' deals in order to see only active ones) been submitted as a feature request?

Not only is there a need to remove inactive deals from the 'Deal' dashboard, as one is currently forced to 'delete' in order to achieve this, it also means that the user doesn't see value of business won in association with contacts.

Thanks!

I would be very greateful to have a feature that allows us to "Turn Off" the Closed Lost deals without having to permanently delete them from Deals.  This could allow for reports of Closed Lost deals for management review.

I feel its extremely valuable to report back the lost opportunities and why they were lost.  However, if the lost deals are deleted, that does not allow Closed Lost reasons and dollar amounts to be viewed later on for analysis by management.

As far as feedback on our product and dollars, we vary from $1k to $4m deals.  Should we move forward with Hubspot, it would be roughly 100+ deals a month to log.

Hi @kbrown,

I wanted to share this idea which requests the functionality of archiving deals, and could be of interest to you.

Thank you,
Jenny

Hi Jenny,

This seems to be excactly what im refering to... one step further - maybe they could "Archive" automatically after a set amount of days/weeks?  This way after the sales staff notes Closed Lost, the Archive Program knows to pick it up.  Just a thought.

Thanks

It would need to be after a quarter or 12 months for reporting to work...

Not exactly... they shouldn't be removed from HubSpot (I have Closed exported deals going back many years for historic reporting), just from the Deal Preview area of the Contact/Company page. The first deals that appear should be Open.

SO LETS SAY THE USER CREATES A CONTACT, YOU CALL IT YOU CLOSE IT. IT LOOKS LIKE THE DEAL SAVES IN DEAL AREA EVEN WHEN YOU DELETE THE CONTACT. SO IN THEORY YOU CAN CREATE THE CONTACT AND WHEN IT CLOSES YOU SIMPLY DELETE THE CONTACT AND YOU HAVE THE INFO SAVED IN THE DEAL SECTION OF THE CRM. I HAVE ONLY TESTED THIS ONCE REALLY QUICK AS WE HAVENT STARTED USING THE CRM YET, BUT IT SEEM IT WOULD WORK.

Why would you want to delete the contact? I'm pretty sure most people in this thread wouldn't want to, and while that technically solves the problem, keeping information on Contacts is a big reason to have a CRM in the first place.

I can't believe this doesn't exist.. like many businesses we work in sales cycles. I need to be able to close off last periods deals.

Seriously HubSpot is riddles with basic userflow issues. I'm constantly amazed that they haven't fixed this things. Like how did they launch Docs without the ability to add hyperlinks... mind-blown...!

Nothing seems to get updated. Do they even have a dev team anymore?

Fairly new HubSpot user here . . . migrated from a 3rd party CRM  We love it so far, but I'm just running little problem today as we are about to start using the Pipeline - a lot!  Holy cow!  I can't belive what I'm seeing!!  There is NO WAY to archive closed deals.  I'm stunned.  This is so counter to what we've seen in the product to this point.   HS developers, are you with me?  Add this!  Please!

This is a MUST HAVE feature!  This thing will get very unwieldly in a hurry with all of those closed and dead deals hanging around . . .  and NO, we don't want to delete them.  We put in a lot of work documenting, etc. and we need that historic record.  Hmm.  What to do.

I agree! I have the same issue with one of my clients. They have multiple companies with multiple deals. It would be nice if there was an option to filter out closed deals. Or to filter the deals in some kind of way at the company page. I know it is possible on the deals page..

I have the same challenge, i.e. I don't want to delete my closed won/lost, but move it out of my sales funnel.  I checked in with help desk and was asked to upvote this thread ... done.  Any work around, apart from deleting, would be much appreciated.

@tbls-amanda What are you trying to accomplish?  There may be a way to use filters to get information another way.

@channan glad it helped.  it takes a while to get used to them. changing the checkboxes provides different results.

Can we just create a property "Archived" with a yes or no.  When a deal is done...work done, billed, etc you select yes.  Then view the deals with a filter that allows none of the archived deals to be viewed?

@gregmo try it and test

Yep that works great.  I imagine there's all sorts of good stuff we could do with a similar method.

I don't think you're fixing the issue in the original post. There is currently no way to filter the Deals that are previewed on a Contact or Company page.

However, you could always filter Deals on the Deals page; you could filter out Deals that were Closed Won/ Lost, etc (any property). The issue is that some of us have a lot of Deals per Contact/Company and the ones shown when we are on that page often are Closed. It makes no sense to have these appear there.

@Dylan Any reason this idea is not being addressed? Not everyone has High dollar, low volume deals. I'd love that, but that is not our reality. Whether a deal is $75 or $25000, we still have to record it has a deal. Why do I see closed deals on the Contact Preview? Why do I see closed deals on the top of the Contact Preview for deals?

Thanks.

We've just moved from HighRise. HubSpot is amazing in comparison.

But some of the simple stuff like this... who wants to see old deals in the list when assigning? At least do what HighRise does and break them up into sections of Pending & Closed.

Simple stuff, would be a very easy fix.
