How to auto-fill Deal's field with assigned Contact value

SOLVE

When a new Deal is created, I want it to automatically inherit a value from the associated Contact record. For example, there's a field called IED on the Contact. Instead of manually copying and pasting this value into the Deal, I’d like to use a Workflow (or a similar automation) to populate the Deal’s IED field with the Contact’s value automatically.

 

Is this something HubSpot supports?

Hi @Dartem,

 

Yes, it does, with a deal-based workflow: https://knowledge.hubspot.com/workflows/create-workflows

 

  1. First create the IED property on the deal object: https://knowledge.hubspot.com/properties/create-and-edit-properties
  2. Navigate to Menu > Automation > Workflows > Create workflow > From scratch > Skip trigger and choose eligible records > Deal
  3. Click Add criteria > Deal properties > Create date is known AND IED is unknown > Save and continue
  4. Click the + sign below the enrollment box to add the 'Edit record' workflow action
    1. Select 'IED' under 'Property to edit'
    2. Click into 'Choose a value'
    3. In the expanding sidebar, click 'Edit available data'
    4. Click 'Add records' in the right sidebar
    5. Under 'Choose a record type' select 'Contact', screenshot below *karstenkoehler_0-1747973101359.png
    6. Under 'Choose a value', you can now change the dropdown that says 'Enrolled deal' to 'Contact: Most recently updated', screenshot below ('Next step' would be 'IED' for you)karstenkoehler_1-1747973168623.png
    7. Find the contact property 'IED' and save/confirm
  5. In the top right corner, click 'Review and publish' and follow the steps to turn the workflow on

 

The steps above assume that that is exactly one contact associated to the deal or that the one last updated or first created matters. If there's a more complex logic to it, please let me know!

 

Also, let me know if you have any questions. I know that the above can be a bit intimidating.
