How to associate a company when importing deals

SOLVE

I need to associate imported deals with existing company records in Hubspot.  I suspect that the answer to this question lies in the section titled "Import to create or update records of multiple object types in one file" in the knowledge base article "Import contacts, companies, deals, products or notes" at https://knowledge.hubspot.com/crm-setup/import-objects.  

 

But can someone tell me or point me to information as to EXACTLY how I need to set up my .csv file to import deals so that they are associated with companies?  The generic information in the help article does not explain that!

 

Also we have MORE THAN ONE DEAL for some companies.  And so the Sample files of multiple object types-Companies and deals sample spreadsheet" found in the help article "Set up your import files" (https://knowledge.hubspot.com/crm-setup/set-up-your-import-file) also does not seem like it will work.

 

HELP!

There are a couple of steps that you need to follow - plus some manipulation in Excel:

 

  1. Because you imported deals already, you first need to expor them from HubSpot to get their unique ID - this is so that when you import them again they deduplicate against the existing ones
  2. You then need to add a column to both your deal and company import files that will hold the 'common' value. Since the company is unique and might be associated with multiple deals, it would be fine to use the company name or any other identified as this common value. Then you need to add the value for the right company to the common column in the deal file - multiple deals might have the same common value because the belong to the same company
  3. Then you simply import both files at the same time telling HubSpot what the common column is called (the header needs to be the same in both files)
  4. HubSpot dedupes your deals based on ID, companies based on name, and associates the two based on the common column

Hi All,

Can I ask if anyone was able to link two client contacts to one deal as part of the load. So far I:

1. Imported the companies

2. Imported the contacts and included the company domain field which links the contact to the relevant company

3. Imported the deals but also included the company domain (to link it to the relevant company) and the client contact email address (to link it to the client contact).

I need to link more than one client contact to the same deal so I wonder has anyone figured out how to do this?

Hi @KChandler, hope you are doing well!

 

I understand that when you create a deal and associate it to the company, you would like to automatically associate to the company's associated contacts as well, is that correct?

 

If that is the case at this time, this is currently not possible. This features request has been posted in our ideas' forum requesting for this to be a functionality! I encourage you to upvote for the idea, this way it will have more chances to be implemented in the future. 

 

However, you can use these 2 workarounds:

 

1. When associating the company to the deal, is to associate the contacts at the same time. If the contacts have the same email domain, you can type that in to find the contacts that match with the domain and select them to be included! For example, in my account I have a company called "The Dragonfly Inn" with the domain being example.com. The associated contacts to that company have an email domain of @example .com. When creating the deal, I typed in the email domain, and it brought up the associated contacts to that company, so I could select and associate. 

 

2. Associate the deal to the companies/contacts at the time of the deal creation. So you could use a company based workflow > use the "create record" action and create a deal record. Then you can select to associate the newly created deal to the enrolled company and it's associated record (please see screenshot). That would then associate the deal to the company and the companies associated contacts, but it would need to create the deal within the workflow.

All I had to do was name the column Company ID and the import process recognized it was a unique ID to associate the company. Solved!

I have a similar issue and I am able to import all in one file with 3 objects, Deal, Contact, Company but if the company already exists, it won't make a match on Company name, it will duplicate the company.

I am able to get the company ID in the file, but how to import all and make sure it associates with the proper company ID?

Hi there,

 

How do you do this to associate 2 companies to one deal on import? I can do it manually but that sort of defeats part of the purpose I think.  When I export a deal, I get a "Associated Company" Column formated like  Acme Anvils;Coyote Industries, but when I import a deal with  Acme Anvils;Road Runner LLC and Acme Anvils;Tweety Inc  I get two new companies named exaclty "Acme Anvils;Road Runner LLC" and "Acme Anvils;Tweety Inc" instead of the deals each having Acme Anvils and then the other company associated with their respective deal.  These companies may or may not already be in Hubspot. The first one will always be in there, the second company may or may not.

Did you ever get an answer for this? We are importing records from another CRM and have multiple companies & contacts associated with each deal and the data are similarly formatted to yours.

Phil,

Thanks for your answer.  I had not already imported any data into Hubspot, so the steps you outlined were not appropriate for my situation.

 

That said, I did finally work out a solution.  Instead of importing companies and deals separately, I combined them into one file.  Each row in my import file had the Company properties first followed by the Deal properties.  When I had more than one deal for a Company, I created additional rows with the same Company properties and the different Deal properties -- e.g. Company X may appear on three rows with the properties of Deal1, Deal2, and Deal3.

 

You have to choose the "Multiple Objects" selection in the Import process to make this work.  Here are the steps I used.

1.  Settings>Import & Export

2.   Start an import

3.   File from computer

4.   One file

5.   MULTIPLE OBJECTS

6.   SELECT BOTH COMPANIES AND DEALS

7.  Upload your import file

8.  Match any unmatched properties, or click to skip if no match (if you prepared your import file properly, all fields should be automatically matched or match-able)

9.  Proceed with the import!

 

This resulted in one Company record for Company X and three Deal records associated with Company X for Deal1, Deal2, and Deal3.

 

There may be another way to do this, but this was the way that I found that worked for me.

Laurie, many thanks for posting this solution. I'd been trying for months to import deals with company names and contact names without success. All sorted now thanks to you. 😁
