How do i assign a brand with a media agency and the specific person on that client?
SOLVE
Hi,
We work in digital media dealing with brands and their media and advertising agencies.
We need to assign specific contacts from agencies with a specific client and sometimes function e.g. Sarah X at MediaCom is the business Director in programmatic on Adidas. Sarah X also works on Tesco, Bose, Kia etc.
How would we go about that in the most simplified way?
On a free plan, unfortunately there is no simple way of going about this. If you want to be able to create associations in HubSpot (the relationship between contacts, agencies and clients) then all three would have to be objects. On a free plan, HubSpot only comes with contacts, companies (= your clients), deals and tickets.
HubSpot customers on an Enterprise license can create custom objects, in your case an agency object. This agency object would have its own properties and you could customize associations with other objects (contacts, companies).
If upgrading is not an option, there is only one workaround I can think of and it's very limited in its features and ease of use. I would suggest that you treat agencies like companies: You would have agency company records and client company records alongside each other. Each of these company records have a unique URL which you can copy from the address bar in your browser. I would create and pin a note on the agency company record and insert a list of names+links of associated clients and maybe even associated contacts in that note – and vice versa. This would be laborious and manual but the only way to keep track of relationships without going crazy. The benefit of this workaround is that you see relationships immediately when accessing a company record.
I would also center my HubSpot usage around deals, since deals allow you to associate activities from multiple contact and company records.
Alternatively, there is an app called OrgChartHub on the HubSpot App Marketplace which helps visualize and annotate relationships and associations.
Hope this helps!
