How To DELETE DUPLICATE LEADS

Hi- I accidently assign a bunch of leads to contacts twice.  I've isolated the duplicate leads, is there a way to bulk delete?

@Anonymous are you referring to duplicate leads in the Prospecting space (contacts that have a lead object associated) or leads that are duplicate contacts (not lead objects)?

 

If you're talking about leads in the Prospecting space, I learned recently that only Super Admins can delete them, I haven't had a chance to test this out to verify yet, but I'd be happy to build out a quick test if that's the case.

 

If you're talking about duplicate contacts, you can select multiple from a filtered view and then delete, but you'd also have to have CRM permissions to bulk delete.

@Qwiek I also ran into an issue with leads being created off of the trigger that caused duplication and can understand your frustration with how the leads are currently able to be filtered.

 

As with all new features in HubSpot, I expect this one will continue to evolve and improve - I recommend leaving your feedback directly in the survey available from the prospecting tool (it should pop up in the lower left and have 3 smiley faces, once you choose one it will prompt you for additional feedback).

my solution is:


Create calculation property on Contact level (round count of IDs) for all Leads and Filter by Open only. I called it ''Count of OPEN leads''

then do the same type of field on Lead level (Count of Contacts with open leads)

Now go to Prospecting space and filter for ALl Leads , add filter Count of cont with more than 1 open lead and sort the table with results. Still some clicking needed (choose the false/duplicate lead) but way faster 🙂

This is a very complicated method but could be useful if you are getting hundreds of inbounds per day and its not possible to remove duplicated manually via the following process:
Sales > Leads > Actions > View All Leads > Sort by Lead Column > Find duplicates > Delete Duplicates.
The list can be filtered by date - this could be a daily or weekly task.
It's a workable workaround until HubSpot creates a 'Leads merge' feature

Assuming you have admin rights to do so it's a fairly simple process to remove duplicate leads.

From the 'Prospecting Workspace' open the 'Leads' Tab.

Click 'Actions' and then click  'View All Leads' to show your leads list

Every lead that has been created will show up in this list.

Mark the check box of all the duplicate leads that need to be deleted and click 'Delete'. Delete is just above the list.

@rickl that's correct, deleting leads is fairly straightforward, however as you mentioned it requires super admin rights, which not every sales user has and what the initial issue of this post was about (the user didn't have super admin rights).

We have a similar issue. Multiple form fills, or manual lead creation before the workflow kicks in creates duplicate leads. It looks like Hubspot knows the lead is a duplicate and only shows one of these leads in the leads area in the prospecting workspace. It's when I run a leads funnel report that the duplicates show up. I need to be able to merge them, or delete the later ones.

Not sure both answers are satisfying enough. We imported some extra leads to follow-up and accidently ended up with some CP's with double lead status. Filtering those out and deleting them is now a very consuming task. Not the bulk delete part, but the filtering.

Users with super admin or bulk delete permission can delete a lead. To delete a lead, select the checkboxes next to the leads you want to delete and click Delete, see here: https://knowledge.hubspot.com/prospecting/manage-leads-in-the-prospecting-workspace

Hello Karsten,

 

While that may be true, you still need to go through all the separate users (and some are not connected to a user). I would suggest that as an admin with a sales seat, you should be able to see all leads in the prospecting interface (and preferably have some tools to deal with duplicates, etc.).

@Qwiek it sounds like you're looking for different functionality than what exists, and understandably so. I recommend searching the Ideas to see if there are already ideas to improve the lead/prospecting/sales workspace and upvoting/adding your feedback there. If your idea doesn't exist, create one and share the link back here so others can upvote easily if they come across this question.

 

Creating an idea is the best way to share your feedback directly with the product team.
