How Can I Add a Target to My Existing List-Based Webinar Dashboard?

Hi everyone,

 

I need help. I already have a dashboard in HubSpot that’s based on a list — specifically, it tracks contacts who have registered for an upcoming webinar.

 

What I’d like to do is add a target or goal to this dashboard so I can:

  • Set a clear registration goal (e.g. 200 signups),

  • Visually track our progress toward that number directly within the dashboard (using scorecards, bars, or some sort of goal/benchmark indicator),

  • Ideally automate or display some kind of "target reached" marker when we hit that number.

  • Have a due date so the team can view what we have upcoming.

 

Since this is list-based, I’m not sure what’s possible in terms of overlaying a goal or target metric — or if there’s a workaround using custom properties, workflows, or embedding external reports.

Has anyone done this before or found a good solution for this kind of setup?

This is best done with the custom report builder and the chart type "Gauge": https://knowledge.hubspot.com/reports/understand-different-chart-styles-in-your-hubspot-reports#gaug...

 

There you can visualize the count of contacts on a list and set a target 🙂

Nice goal, Daniel. I set up something similar for webinar signups, and it really helped the team stay focused.

Quick question: is your list static or dynamic?

If it’s dynamic, here’s a quick win: head to the custom report builder, create a single-object contact report filtered by list membership, and use a Gauge chart. Set the max to 200 (or whatever your goal is) for a clear visual on the dashboard.

I also set up a workflow to alert the team when we hit the target, let me know if you want help with that setup.

Hi everyone,

 

Thanks so much to those who have responded so far — I really appreciate the help and suggestions!

I’ve implemented the Gauge chart in the custom report builder as recommended, and while it’s visually helpful for tracking webinar registration goals, I’m finding that it’s still confusing for my team in practice. Specifically:

 

  • The red zone indicating the target is not intuitive to most viewers — it’s often misunderstood as underperformance.

  • There’s no clear "goal achieved" marker or alert, so the team isn’t always aware when we’ve hit our target.

  • We're still struggling with how to visibly connect targets, webinar dates, and registration progress in a way that's simple and actionable.

 

Has anyone figured out a setup to set Target? Or has anyone successfully combined dashboard visuals with automated goal reminders or date-based workflows?

 

Appreciate any further ideas or workarounds you’ve found helpful. For Reference here is our current dashboard:

Hi karstenkoehler,

 

Thanks so much — using the custom report builder with the Gauge chart works perfectly for visualizing our target! That solves the initial issue.

 

As a follow-up:


We're also wondering if there's a way to set a due date or time reminder for when the webinar is taking place. The idea would be to trigger a workflow that sends an internal email to our team ahead of the webinar, letting them know:

  • That the event is coming up soon, and

  • Whether we are on target or off target based on the number of registrants in the list at that time.

Is something like this doable within HubSpot (perhaps using workflows, date-based properties, or list criteria)? We'd love to automate this as much as possible.

@DDias28 technically yes, but only with considerable configuration and complexity.

 

Instead, have you considered sending the entire dashboard to stakeholders daily/weekly? https://knowledge.hubspot.com/dashboard/email-or-export-reports-and-dashboards

 

(This would be a setup requiring only 1-2 minutes.)
