Exporting notes and activites

Is it possible to export all activities and notes from HubSpot contacts, companies and deals? If so, what is the simplest way of doing this?

Hi @dwightbailey,

 

You'd navigate to Menu > Reporting > Report and either use the Single object report builder (selecting the Activities option) or the Custom report builder (selecting Activities as data source).

 

You can then create a table view for a report that pulls in all properties of activities that you're interested in. Once you're looking at a table ( = spreadsheet) that has all of what you need, you should see an option to export the report.

HubSpot’s native export only covers standard object data, and it doesn’t include notes and activities. To get those, you’d need to use the API. Tools like Skyvia make this easier by pulling notes/activities through the API and exporting them with their related Contact, Company, or Deal IDs so you can keep the associations.

This technique almost gets everything. However, it seems to miss email contents.

Hi @dwightbailey,

 

It's currently not possible to export contact engagements (notes, tasks, emails, meetings, calls), at least not out-of-the-box. There are workarounds using third-party integrations. I haven't tested this myself but other users have mentioned ultimate data export: https://ecosystem.hubspot.com/marketplace/apps/marketing/analytics-data/ultimate-data-export-224046

 

Another alternative would be custom solutions based on the HubSpot Engagements API.

 

Lastly, if you have a Professional subscription, you could create a custom activity report and export the report data. Let me know if you need further guidance with this part.
