Enroll just one contact in a deal based sequence

SOLVE

Hello,

I’m looking for a solution to implement a sequence that targets just one contact assigned to a deal. I know that sequences are only associated with contacts, and not deals, so I created two separate workflows. The first is a deal based workflow that triggers based on a certain deal stage and then updates a property value for all associated contacts. Then, the contact workflow would enroll contacts based on the value of that property assigned in the deal workflow, and then the sequence would be sent to the associated contacts.

However, I do not want the sequence to be sent to all contacts. I’m trying to understand if there’s a way to just send this sequence to one contact. Is there a way to set a primary contact on a deal, or something else that would achieve this?

Any help or insight would be greatly appreciated! Thanks!

Hey @SDay29

I think the best way is to identify that 1 or main contact as a Decision makers or Champion

you can use the property "Buyers role".

You can also have a label about Decision makers.

Then specify this (both options) in your workflow to target only that contact.

Hope this helps

Hi @SDay29,

There are different ways of designating a primary contact for a company or a deal. One would be association labels (https://knowledge.hubspot.com/object-settings/create-and-use-association-labels), another one using any custom property to designate a primary contact. You could use an existing one (e.g. "Buying role"), in which case you would have to make sure that you use one value in that property consistently for the primary contact. Alternatively, you could also create a single-checkbox property, for example, that simply marks one contact as the primary contact.

Depending on the volume of the contacts that you have to sift through, you can consider exporting these contacts and using Excel to quickly mark one contact per company as primary, before you re-import only the primary contacts to create the list. ChatGPT can also help with coming up with an Excel approach to quickly identify just one contact per company mentioned in the company column of your file.

Let me know if you have any follow-up questions!

Hi @SDay29 ,

Have you tried building a Contact Workflow with enrollment criteria based upon the associated deal?

For instance this criteria would enroll contacts with the "Decision Maker" role when the deal is won:
