Email addresses attributed to wrong prospect

SOLVE

Hello! I recently created a form which is used by our SDR team to submit contacts to our database, and I get an email notification every time a new prospect’s details have been added. However, I have just noticed that instead of creating a new contact each time details are submitted via the form, email addresses of multiple prospects are being saved under one prospect’s (i.e. the wrong prospect’s) name. 

 

It has been suggested on another thread that this is likely caused by cookies on the browser where the form is being submitted. I have now enabled the “Always create contact for new email address” option, so hopefully this will not happen going forward. But this leaves me with two questions:

 

(1) Is the possibility of this happening flagged anywhere? Because if it's not it's a pretty huge oversight, especially since it’s going to take a lot of time to untangle - and isn’t the point of a CRM to make data management more efficient!!

 

(2) Is there a template Excel sheet for bulk lead import, and are there any settings that I need to select before bulk import? (I’m trying to see if I can rectify the problem in another way, other that just deleting all the contacts and resubmitting the forms).

Hey @CDuffy2,

 

Sorry to hear this has happened.  To start with finding the affected emails, there's really not a great way do this but you can do a full contacts export and select this check when exporting:

Then in the CSV that's downloaded there will be a "Additional Emails" column you can look at.

 

For the second item, the only thing that's required with bulk importing is just a First name, Last name, or Email address.  But it's highly recommended you have the email as that's the deduping solution HubSpot uses for contacts.
