I have a question regarding an automation of a custom property. We have created a custom property on contact level called “Discovery call date”. The idea is that we have the first call date logged in this property. We have done this mostly manually in the past but want to try to automate this, as it is getting harder to keep track of all the first meetings and people often forget to update this field.
We tried to achieve this using a Workflow, where we would update the property based on a first Meeting booked. However, the only property we could select for the trigger enrollment step is Date of last meeting booked in meetings tool is known. Seems there is no other option?
As a result, only meetings booked through the HubSpot Meetigns link are triggering the automation. This is only a small percentage of the calls. We do have automated meeting logging to HS (using the calendar and meeting sync options). Is there a way that we can make sure that any initial meeting which is logged in HubSpot triggers the automation to set the Discovery call date?
In a contact-based workflow, you can filter by associated activites:
In there, you can then filter for activities of a certain 'Activity type', 'Meeting type', 'Meeting outcome' and 'Activity date is less than 1 day ago'.
You can then use the 'Edit record' workflow action to set your custom property to the current date.
Keep in mind that this will only work going forward. It is not possible to run this retroactively (unless you're okay with copying the date of the first meeting of any type).
You would turn this workflow on, only enroll contacts who meet the criteria from now on and it would populate starting today.
