Deals without Attachments

Hi,

I'm looking to build a report or list of Deals without an attachment so that I can assess Deals past a certain stage that require an attachment. Is there an easy way to put this together?

thanks,

James

Hi @JMillard1 , this is a very common ask, and Sam is right that there’s no native “has attachment / doesn’t have attachment” filter on deals today.

That said, there are a couple of workable patterns teams use in practice. The most reliable one is to introduce a simple custom deal property like “Required attachment added” (checkbox or dropdown). Then, whenever someone uploads the required file, they manually check it, or you automate it via process. Your report becomes trivial: deals in stage X where “Required attachment added” is not true. It’s not perfect, but it’s predictable and auditable, which matters when deals move stages.

If you want to reduce manual steps, workflows can help a bit. For example, if your attachment is always uploaded as a note or file from a specific source (sales email, form upload, or integration), you can trigger a workflow when that activity occurs and set the property automatically. This still won’t “detect attachments” generically, but it works well when the attachment path is consistent. HubSpot workflows can act on deal activity associations, which is usually enough for this pattern

One thing to be careful with is that files in HubSpot live on the File Manager and are linked via activities, not stored as a deal property. That’s why reporting can’t see them directly. Until HubSpot adds native support, the property-based workaround is the cleanest way to enforce attachment requirements at specific stages  (https://knowledge.hubspot.com/records/add-and-remove-attachments-from-records )

Hope this helps, and +1 to upvoting the Ideas post. This one comes up a lot.
