I am creating a contact-based workflow in which once of the steps is to create a task for the contact owner. However, I just want to create one single task as a reminder and not for all the contacts in the list.
For example: I have 1000 contacts in a list and I want to create a task to email each contact in the list, but I want to create a single task (since the task is the same for all the contacts) instead of creating 1000.
In that case, it's easiest to simply do this manually.
It can't be done with workflows as workflows process records one by one, one after the other. Actions never take into account what the previous or next record or the total number of enrolled records is. The task creation workflow action can not be configured in a way that would make it only create one task for all contacts, unfortunately.
Alternatively, consider enrolling just one specific contact and phrasing the task description to refer to all contacts.
