Automating Meeting Logging Based on Participants

Hi HubSpot Community,

 

Our team has a high volume of meetings, and we’re exploring how to automate the process of logging meetings and capturing notes in HubSpot based on calendar data.

 

Here's what we're trying to achieve:

We want to build a workflow that can:

  1. Scan a calendar event (from Google Calendar or Outlook).

  2. Identify external participants based on their email addresses (e.g., not from our internal domain).

  3. Identify internal attendees (our team).

  4. Automatically log the meeting in HubSpot as an engagement activity:

    • Associate it with the correct contact(s) (matched by email).

    • Include the internal owner(s) who attended.

    • Optionally associate it with a company or deal.

    • Include the meeting notes captured by the team during or after the session.

The goal:

To ensure every meeting and the relevant notes are automatically captured and logged in the CRM — reducing manual work and improving data consistency across our team.

 

Questions:

  • Has anyone implemented something similar?

  • Is this doable with HubSpot's native workflows, or does it require custom development via API?

  • How do you best differentiate internal vs. external attendees from calendar events?

  • Any tools, templates, or practices you’d recommend for capturing meeting notes alongside the event log?

Any suggestions or shared experience would be incredibly helpful!

The HubSpot calendar sync takes care of most of this: https://knowledge.hubspot.com/integrations/use-hubspots-integration-with-google-calendar-or-outlook-...

 

There are however limitations to correctly identifying internal and external contacts, yes, this is not happening reliably last I checked.

 

In terms of deals, companies etc, you can adjust the automatic association rules: https://knowledge.hubspot.com/object-settings/configure-automatic-activity-associations

 

Regarding meeting notes, is there a reason you're not leaving those on the meeting record directly? This would be, I think the best option.

 

There of course also notetaker apps on the HubSpot app marketplace that log meeting notes automatically and in differing ways.
