We are having an issue using the built-in automation for creating associations between companies and contacts. The problem is that the automation will create a new company every time it detects a domain that doesn’t already exist as a company in HubSpot.
If a company record doesn’t exist, HubSpot automatically creates one. However, this results in duplicate companies because some contacts have special or unique email domains that should not trigger the creation of a new company. Instead, they should be associated with a subsidiary under an existing company. It’s a bit hard to explain, but I hope you understand what I mean.
Do you have any ideas on how we could solve this? Could a workflow help? I’m not sure exactly how, but just brainstorming.
If you're referring to domains that you cannot foresee, then it's simply a trade-off: either you have the feature turned on and will have to work through the duplicates (using tools like Koalify, for example), or you'll turn it off and are now in charge of manually creating companies or defining your own logic using workflows.
There's unfortunately no in-between; the automatic default settings are not smart enough (yet) to be rule-based.
