Associate existing Contacts with existing Companies by ID

I have a list of contact and company names - but I don't have email addresses for the contacts or domain names for most of the companies. 

 

I tried to import a list of contacts and companies during a single import, however, due to the lack of email & domain, whilst they are all imported, and the Company Name is recorded against in each Contact most are not associated so the Associated Company ID is blank. 

 

Using an export from the CRM, I have however, linked each Contact Ids to the correct Company Ids that they should be associated with. For example:

So my question is how can I update the  Associated Company ID field for multiple contacts?

Hi @SteveVenton,

 

The easiest way to do this, I think, would be to import two files for association:

 

File from computer > Multiple files with associations > Multiple objects > Companies + Contacts > Update existing records using "Object ID" exported from HubSpot

 

Both files need to a common identifier which could be anything. In your case, you can just reuse the Associated Company ID as a common identifier.

 

During the import, you should arrive at a step that looks like this:

In the following step, you'll have to select a common identifier column for each file. In your case, we'll reuse the associated company ID as Common identifier. HubSpot will ask you which object this Common identifier column is the unique key for, that should be Company. If we reuse the associated company ID as Common identifier, this is what your files could look like. (Yes, it's redundant.)

I also tried using One File and Multiple Objects:

 

1. Select One File

4.  Speciy the file and "enable Update exitsing recorde using Object ID"

5. Select Contact ID

6. Map the columns now gives the option to map the Company Id from the import file, but Company ID is not available in the drop down list. Company Name is selected by default.

Hi @SteveVenton,

 

Just to clarify, why are you importing the same file twice? "Using the method you suggested with the TWO files (both the same)" – this is likely the mistake.

 

One file needs to contain the contact information + a unique identifier column.

The other file needs to contain the company information + a unique identifier column.

 

In each file, each row must correspond to exactly one contact or company. For example files, have you checked this page?

hi Karsten. 

Thank you for your help and so sorry for the long delay in actioning this task. 

I am, however, struggling to make it work as expected. 

I get as far as entering the common identifier:

However, the next step gives an error saying that I have to use the Company Domain Name as a unique identifier.

The issue is that many of the companies I am working with do not have a domain (and many of them actually share the same domain as they are franchises), so I have to use the Company ID. 

 

I do hope that there will be a way to work it out!

Hi @SteveVenton,

 

In your second screenshot, you've mapped Company ID with Name. When you correctly map it to Company ID, the notice should disappear. Could you try this and report back?

I'm sorry I can't reproduce the steps I took to get to the screenshots above.

 

However, walking through from the start, this is what I am doing:

 

A: Using the method you suggested with the TWO files (both the same)

 

1. Select multiple files:

Companies and Contacts

3.  Select to Update Companies with Company Id and Contacts with Contact Id

4. Choose how data is associated.. makes sense:

5. However, In the Map Columns step, the Contact ID is not an available option.

And if I choose "Don't import column", the Company ID must be specified instead. However, now Company ID is not an option.
