Access to contacts by different teams

Hello,

 

We have divided access to contacts in a such way: only members of the contact owner's team have access to it. Also our inboxes are private to teams. We faced such a problem: specialists from different teams had conversations with the same contact; and now all messages from two mailboxes are mixed on this contact's page and they became non-private, also a specialist from one team doesn't have access to this contact because it's owned by a specialist from another team.

 

How can we solve this problem?

Hi @MIvasenko ,

Unfortunately this won't be possible in HubSpot. If different teams are sending emails to a single contact, it means they have access to the same contact so each team will be able to see whatever the activity is happening with that particular contact.

Hello,

It doesn't solve the problem. As I said before, we need different teams to work with the same contact and to have access only to emails sent from team's mailboxes.

When you say inboxes I am assuming your email inbox. So here's the thing - get your reps to send emails from inside Hubspot. (if you use Gsuite it's an easy sync). When you introduce this process, the chance of them emailing others are minimized because they can only view contacts in their team. 

 

Another tip would be to turn the communicate feature in user permission as "owned only" and uncheck unassigned.  What this will do is prevent them from the ability to send emails to anyone that is not assigned to them. 

 

Finally, you can also train your team to check the activity feed for clues if someone is talking to a lead as well as setup lead dispostions in a way that prevents double communication.
