How to provide an effective webinar

Our Japanese marketing team recently held an event focused on "how to provide an effective webinar". We wanted to share some of the highlights from their session with you!

 

Top ten tips for providing an effective webinar: 

 

1. Determine the goal of your webinar

 

Deciding on a goal for your webinar will help you determine what type of content to share. Are you looking to obtain more leads? Improve customer satisfaction? Your target audience and your end goal will help you focus your webinar content. 

 

Once you've decided on your goal, think about what knowledge your company has around this topic that will help others. What type of "internal expertise" do you have? Everyone is a thought leader in something and once you have determined your subject matter expertise in this area, you are off to a great start in creating your webinar content!

 

2. Partner with different departments internally

 

Content for your webinar should not only come directly from your team or department. Team up with other departments who work closely with the targeted prospects. If, for example, your goal is to obtain more leads from the webinar, consider working with your sales team. If your goal is to improve customer satisfaction, think about partnering with marketing and services. 

 

3. Integrate your webinar tool with your CRM

 

By integrating your webinar with your CRM,  you'll be able to include information such as who attended this webinar, whether they have attended past webinars, as well as where the users found the webinar invite (landing page vs. invite email, for example).

 

In addition to helping you plan your webinar, it will help other teams, such as sales and services, understand which of their clients attended the webinar. Finally, having this information will make follow up easier by enabling the ability to use workflows, or other automated tools. 

 

4. Use automation tools

 

As mentioned above, using automation tools will improve the follow up experience for attendees. Automating the follow up removes stress from individuals and ensures that no one is left out from receiving the follow up email. 

 

5. Make the webinar interactive

 

While having all of your participants faces on the screen may be overwhelming and decrease efficiency, forgetting about your attendees completely can create a very one sided conversation. Try using the chat feature within the webinar to increase user engagement. Additionally, you can collect questions from attendees beforehand to ensure you are answering their questions during the webinar. Finally, consider having a Q&A session at the end of the webinar. If you do add a Q&A session, it's helpful to have one member of your team moderating the Q&A in addition to the presenter. 

 

6. Keep the mood upbeat!

 

It's normal to feel awkward when presenting a webinar, as it can seem like you are talking to yourself. However, the more engaged you are, the more engaged your attendees will be! Focus on speaking clearly and keep an energetic tone to keep your audience's attention. One way to keep everyone's attention (and avoid feeling self conscious) is to share your screen and present slides or any visual aid. Consider doing an audio-visual check before you begin so you can confidently present without worrying. 

 

7. It's ok to stream a recorded video

 

If you aren't comfortable presenting your webinar live, that's ok! You can record your webinar in advance and stream it at a scheduled time. If you do record your webinar, be sure to give your attendees a place for a Q&A session after the event.

 

8. Follow up ASAP

 

It's important to follow up while your content is top of mind for attendees. At HubSpot, our best practice is to follow up within 1 business day. When you are following up, give participants a place to contact you as they may have new questions or suggestions.

 

9. Use your data effectively for follow up

 

Customize your follow up content for participants. At HubSpot, we use the data from the Zoom integration and questionnaires to customize calls and emails. 

 

10. Re-use the webinar content 

 

Your webinar content is still useful after the webinar! You can re-use the webinar as a content offer to obtain prospects on your website. Additionally, webinar content can be used as a starting point for creating new blog posts.
