Evites through Outlook

Hi there,

 

We run a number of in-person events where our clients attend, and we’d like to manage these through HubSpot so we can track responses properly.

 

Ideally, we want to send a calendar invite that allows guests to accept or decline, but we don’t want to use the standard marketing email tool as those emails often end up in spam.

 

So my question is: Is it possible to send event invites (evites) through HubSpot that function like a normal calendar invite?

Off the bat, I'm tagging in @ChristinaKay and @OPerek-Clark here , as they often have great advice on event management in HubSpot - is there a specific integration or methodology you all would recommend in this instance?

HubSpot marketing and sales emails are sent as HTML emails, which function differently than the direct "Calendar Invites" you are used to in Outlook. 
There are also some potential options, like utilizing Sequences, which may be a better fit for the type of outreach you're hoping to achieve - so that the email is personalized. Then you can include a calendar file (.ics) for the Outlook calendar event in the email template that is sent out.

- To do this, create the event in your Outlook Calendar.

- Save/Export that event as an .ics file.

- Upload this file to your HubSpot File Manager.

- Create a Sequence with an email that says, "We'd love to see you there. Click here to RSVP."

- Direct the "click here" to a simple HubSpot Landing Page with a form or Meeting Scheduling Link.

- Set up a simple Workflow (or the simple Form follow-up email) to send a confirmation email.

- In the confirmation email, include a button that says "Add to Calendar" and link it to the .ics file you uploaded.
