[Closed] AMA with Zapier: How to spend less time on lead management (but make more sales)
Hi all—the Zapier team here, and we have a quick question for you. How much time does your team spend managing leads? If you spend more time sorting your prospects than turning them into paying customers, your lead management process may need a major overhaul.
We're here to talk about how you can use automation to streamline your lead management process. Since Zapier is an automation tool that lets you send information from one app to another, we have a few ideas for how you can reduce the manual tasks that clog up your day. That way, you can gain back time to focus on closing those deals.
We’ll be on call to answer your questions about lead management automation from June 21 - July 8.
Feel free to ask us any questions about:
How to streamline your marketing processes
Ways to automate your administrative tasks
How to build a seamless lead funnel
To get things started, here are a few ways you can streamline lead management:
Instantly send all new leads to the right place
From landing pages to ads to social media, there are many ways to source leads—and they're all important.
But when you're sourcing leads through multiple channels, it can be difficult to keep track of them all—and easy to miss out on a potential customer.
With automation, you can instantly send all new leads to the right place. Cut down the time it takes to manually add leads to your tracking platform and make sure every lead is accounted for.
Here are some top automatic workflows:
Send leads from ad campaigns into your CRM
Add leads from your website forms to your tracking platform
Send leads from social media to your email marketing platform
Send prompt, personalized messages
You've captured that new lead, but that's just the first step of many in your lead funnel. You also need to nurture that lead with prompt, personalized messages.
Every business has its own strategy for converting leads, but timely follow-up is universal. There's a short window in which you have a prospect's interest, and automation can help you capitalize on it.
Here are a few top automatic workflows:
Send a customized email after a sales call
Send a SMS message when you get a new sign-up on your website
Send an email when you get a new event registration
Easily enrich your lead data
Gotten an email from a company that seemed wildly out of touch with how you use their product? It's likely because they didn't segment their subscribers.
Segmentation is a critical part of any marketing strategy because you want to speak to potential and existing customers at the right moment to influence a purchasing decision. (And you don't want them to unsubscribe.)
But it's impossible to scale if you're trying to manually keep lead profiles up-to-date. With automation, you can clean up your segmentation workflows by instantly tagging leads when they take a particular action.
Here are a few top automatic workflows:
Update your CRM when a lead signs up for a call
Add tags to new leads for specific ad campaigns
Remove leads from email lists once they make a purchase
What do you need to automate?
Lead management requires dutiful upkeep. Fortunately, automation can help you streamline the process, so you have more time to focus on the important things—like actually turning those leads into sales.
Have other manual lead management tasks or processes that slow down your ability to scale? Share them in the comments! We might be able to give some tips on how to automate them.

I love all of the possible applications for Zapier to manage sales leads. My favourite use case is likely the Slack x ChatGPT x Zapier combo to help generate project tasks based on leads.

Just want to share a use case where we use Zapier to generate API form submissions in HubSpot when we run external events or co-branded reports or other types of marketing activities where the lead gen form is not our form but that of a partner and we receive a list of leads in a file.
We import these external leads into HubSpot and set their Original Source to Other campaigns (as otherwise they would be Direct Traffic if passed through API form submissions). We build a zap that takes new contacts added to a static list and sends them back to HubSpot as form submissions (includes the URL of the external event as form page URI). We create a static list and a form in HubSpot (with the label External to know these are external marketing activities) and then we add the recently imported contacts to the above static list (and this triggers the zap).
The zap generates the form submissions and that gives us conversion information within HubSpot (first conversion = the "external" form submissions) to be able to build attribution reports that account for these leads as being marketing sourced (and not sales source as it would have been if they would have remained an Offline Source import).

Hi @jamesmarry ! Liz from Zapier here 👋 Thanks for the question!
Taking a peek at your site, I'm thinking a good chunk of your lead gen is coming from website/Instagram, is that correct?
A good place to start would be Zapier's Small Business Resource Hub where we have a dedicated space for lead gen<>sales automation. This article around the HubSpot<>Zapier integration might be of particular interest!

Hey @ZapCommunity thanks for taking the time to do this. I'm a Customer Support Specialist here at HubSpot and like many of my colleagues, I've directed our customers towards Zapier to bridge HubSpot with other integrations on many occassions!
What's something you wish our customers knew about integrating Zapier with HubSpot? Is there anything that customers should keep at the forefront of their minds when they start thinking about automation?

Hi @JPanama👋 Always happy to hop in and chat- we're big fans of HubSpot!
We're cooking up a lot of cool things over at Zapier, focusing on providing industry-specific resources and spaces for folks. Recently, we have opened up new user groups within Zapier's community to help connect folks within similar industries.
On our HubSpot app page, folks can find a ton of information regarding the Zapier <>HubSpot integration. It's a great jumping off point for dipping your toe into automating your processes!
Excellent insight and tips on how to use the tool effectively.
I used Zapier to send text messages to customers after calling and booking home inspections with me. Once their deal had been moved to the qualified stage, a 'customer appreciation' text would be sent to their cell with a reminder of the appointment date.
Are you running into any lead management processes that are slowing your team down? Do you have any use cases you would like to share with @ZapCommunity?
Thanks!
Best,
Kristen
