working for 2 clients with two different email addresses

I work as a freelance consultant.

I have an account with HubSpot under my own company email address.

I am working for 2 clients with two different email addresses:

claudio@company1.com

claudio@company2.com

I would like to have access to HubSpot with a single database of contacts for both my clients and be able to send emails to contacts using each email address i.e. claudio@company1.com and claudio@company2.com independently.

Can you help?

PS: at the moment I have access to Hubspot with my own email address. Once I enter Hubspot using claudio@company1.com email and if I want to access company 2 I log in using claudio@company2.com

Thanks

Claudio

Hi @CZimarino,

It's not possible to keep two HubSpot portals in sync using default HubSpot features. (There are integrations for that.) If you need both databases to be in sync, you would have to use one portal.

Personally I'd be concerned whether there are privacy implications to managing contacts belonging to two companies in one portal. You might want to check this with a legal professional.

If you're using one portal, it doesn't matter which email address you use for logging in. You can connect multiple email addresses for sending personal emails, as explained above: https://knowledge.hubspot.com/email-tracking/connect-your-inbox-to-hubspot

Hope this helps!

Hi @CZimarino,

Could you explain a bit more in detail what you mean with this?

In general, it's not possible to use more than one email address to log into HubSpot. You can however switch between multiple HubSpot portals: https://knowledge.hubspot.com/account/manage-multiple-hubspot-accounts

If you're managing contact databases belonging to multiple customers, it usually makes sense to have multiple portals – also because of data privacy and protection reasons.

If your request is simply about being able to use multiple email addresses as personal sending addresses, you can connect multiple ones by following these steps: https://knowledge.hubspot.com/email-tracking/connect-your-inbox-to-hubspot

Let me know if you have any follow-up questions!

Hi Kasten, here you are my situation.

I work as a freelance and at the moment I have 2 clients:

- company1

- company2

They have two different product range and services.

My role is to introduce them into the market and help them grow.

Luckily they are active in the same industry i.e. I have a database of customers which is good for both companies.

I will use this database to email customers, write notes, meetings and set tasks.

I need to have one single database of customers which can be shared between the 2 companies.

But at the same time I need to email these customers once from i.e. claudio@company1.com  email account and another time from claudio@company2.com

So basically:

- myself (my own Hubspot account with my company email address i.e. claudio@gmail)

- 2 clients: company1 and 2

- one single database of customers for both companies

- if I update the data of a customer, that change has to be avaiable either I access hubspot for company1 or company2

What do you suggest?

1. open two separate accounts one each company and enter their own email address i.e. claudio@comapny1.com and claudio@company2.com ?

1.0  In this case shall I open the accounts under my own email or shall I create a new account using the companies email account?

1.1 In this case will the database of customers be updated if a change happens in one or the other accounts? > is there a way to synchronise the database?

1.2 with two separate accounts will I need to use two browser to keep the two accounts open at the same time?

1.3 can I still use the hubspot extension for outlook and email customers from there still having the email in the CRM?

2. or any alternative solution?

Many thanks!

Claudio

Hi Karsten, thanks for your reply.

A quick note to say with regard to "Personally I'd be concerned whether there are privacy implications to managing contacts belonging to two companies in one portal. You might want to check this with a legal professional."

The database is mine (not of my clients), I own and I keep it in respect of the GDPR.

With regard to have two portals: you are right the best is to opt for a third party integrator.

Many thanks again!

Claudio
