Unwanted users available in owner property drop down list

SOLVE

I am frustrated with the unwanted users showing up in the "owner" property. Some users have been removed from the account while others are deactivated. I would think a user that is removed from the system would not be available to make a contact or company owner.

Hi @CFischer9 if there are no associations and you can't access via users and teams, I would connect with HubSpot Support to see if they can provide further help with having them removed.

I have the same issue on our account, once upon a time they uses salesforce, but haven't in a long time and there is no company, contact or even task associated with those users (salesforce) nor do they show up in Settings for the users & teams. There is no Salesforce integration anymore either, yet they still show in the Hubspot property for 'xyz owner' and we cannot edit this property.

Has this issue been resolved? It shows "solved" on the thread, but several of us have not had our issues resolved. 

I am experiencing the same problem, I had a SFDC integration in the past, but it is long gone, including the users. When I check on the record owner dropdown, the names of all past employees still appear, including those that came through via SFDC. I will create a ticket if no one figured out how to do this, but please let me know if it is resolved.

Hey @DCristofaro,

 

If old users from your previous SFDC integration are still appearing in the owner property dropdown, they may not have been fully removed from your HubSpot account. To resolve this, go to the 'Users & Teams' settings to check for any inactive users and remove them if they’re still listed. If they don't appear there, HubSpot Support can assist in clearing out any lingering data from the integration. A support ticket might be your best bet if the issue persists.

 I'm not sure if it has something to do with when we uploaded our data from Salesforce but, as an example, both Rachel and Jurgen are no longer with the company. Jurgen has been removed where Rachel is deactivated. What do you think?

@JDayNGDATA it looks like they are coming across from Salesforce, rather than as a HubSpot user - I think this might be an integration issue.

 

Do you have someone who manages the integration? or is that also you? 🙂

This is before I joined and I think what they did was a one-time data upload from Salesforce. I believe that is the issue! Thank you for helping me figure it out.

Hi @JDayNGDATA I've checked a few accounts and none show deactivated users in the owner dropdown choices when trying to set the property value or use filters.

 

For Deactivated and Removed, if they retain ownership of a contact after you remove them (those objects weren't reassigned), you will see them as "First Last (Deactivated/Removed)" for those records, but once you change them to an active user then you wouldn't be able to select them again.

 

This allows you to retain historical infomration for ownership if needed.

 

I can understand this can be very frustrating so I want to confirm this is the behavior you're seeing - that they are only visible if already assigned and not visible in new property selection?

Actually, I’m trying to change owners of new contacts and the removed users show up in the drop down list.

@JDayNGDATA that's really strange, I checked a few accounts with deactivated users and can't recreate this - are they showing with the Deactivated/Removed label?
