How to add a Folder view for each area

SOLVE

Hi,

Hope all is well.

As we are now into month 9 of using HubSpot and each of the different areas are setup and growing with our teams coming on board. We now have many Lists, Forms, Workflows etc and that starting page for most is a list of everything. I'd like to use folders to organize this view and can click on the far right tab but have not found a way to make a list of folders a default view, or even if I create a new view to have folders show up. Help!

Hi @DJames79,

 

Folders are nice but typically someone forgets to move assets into the correct folders. I'm not aware of a way to make the folder view the default, either – aside from bookmarking the folder URL in your browser.

 

Instead of folders, I would recommend filtered views: https://knowledge.hubspot.com/records/create-and-manage-saved-views

 

If you name your assets well and they include an identifier for the team, you can add a filter by name. Once you save the filter and drag and drop the new filtered view tab to the very left, this will become the default view, example below:

The great thing about views is that they can show assets in a way that's not mutually exclusive. For example, workflows can appear in multiple filtered views.

 

I know it's not what you asked for but there a lot of benefits:

  • Filtered views auto-update based on filters (no chasing stakeholders to move their assets in the correct folder)
  • Allow for making them the default view when opening a tool (workflows, lists, emails, forms)

Yep, that clutter builds up fast once things get rolling.

Are you organizing workflows, forms, or something else? The folder setup acts a little different in each spot.

Here’s what I do: open the folder, copy the URL, and just bookmark it. My team keeps those saved for quick access. HubSpot doesn’t let you set a folder view as default right now, so this is the next best thing.

@karstenkoehler oh I see. I get you're logic but a bit odd forcing everyone into one way of working. The issue I'd have with the suggested method is all team members need to use the same naming conventions and with 20 odd people in HubSpot things could slip through the net easily. Appreaciate your help, I wont keep trying to solve something I can't.
