I dont know if this is the correct forum or if I should split my questions into two posts, but I hope someone can help me. The questions are regarding "Activites" you can do on a contact.
1) When we call contacts through the mobile App sometimes the recipient sees "000" as the caller ID instead of the Sales rep number/name, any ideas why?
2) Our system is US based (and default settings are set to Eastern US) but some Europe colleagues use it. When the create a meeting from HubSpot the timezones appear for Europe. But when the meeting is seen in Outlook, the schedule is correct but in the title the Time zones are shown as US. This leads to confusion as well as complicate things if the meeting is moved.
For the caller ID showing "000" - this usually happens when the mobile app doesn't have the right permissions or the caller ID isn't properly configured in HubSpot. Check that your sales reps have their phone numbers verified in their HubSpot settings under Profile & Preferences > Calling. Also make sure the HubSpot mobile app has phone permissions enabled on their devices. If you're using a calling provider integration like RingCentral or similar, double check that the caller ID settings are configured there too.
For the timezone confusion with meetings - this is a known quirk when you have users in different timezones. The meeting gets created correctly but when it syncs to Outlook, the title includes the timezone from the HubSpot account's default settings rather than the creator's timezone. A couple workarounds: You can manually edit the meeting title before sending to remove or adjust the timezone notation, or set up a template that your Europe team uses that clarifies the timezone in the description. Also worth checking if your Europe colleagues have their personal timezone set correctly in their HubSpot user settings, that might help with the sync.
If these don't solve it, I'd recommend reaching out to HubSpot support with specific examples since they can look at your account settings directly.
Let me know if you need any help implementing these fixes.
- Is there an extra step needed to "verify" the phone number or as long as there is no warning pop up under Profile & Preferences > Calling. it should be good?
- To enable HubSpot mobile app permissions, this has to be done through the device's settings correct, not through HubSpot mobile app settings?
