we are noticing some contacts are created by viewing documents.
The issue with this is that the new contact will only have the email address filled our and nothing more.
Since there is no contact owner set nobody in the system except for super admins can see the contact which means we are producing unused data in the system.
Can you disable the creation of contact when viewing a document? Or can you add up on the information asked when you are trying to access the document? This way we could build a routing to the correct sales rep.
Happy to give more background information if needed.
If you want the tracking functionalities that come with documents, no, there aren't any additional configuration options as far as I know. You could however always pivot to files in the file manager, without the tracking options of course: https://knowledge.hubspot.com/files/upload-files-to-use-in-your-hubspot-content
As far as identifying these contacts goes, you could always look up the value these contacts have in the field 'Record source' or 'Original source', then create a workflow to automatically assign them to someone (e.g. based on the company owner) or rotate them to owners.
Best regards!
