Add a naming convention description to the Deal Name field

The default naming convention used by HubSpot for the Deal name does not work for us. It does not appear that I can change the default to what I want. Is there a way to put a description of our naming convention so users can see it? Since it is a HubSpot field I am unable to edit the field description.

[Private Beta] Customize Default Deal Name

What is it?

Admins will be able to customize the default deal name for deals created from existing contact and company records. Previously HubSpot’s deal name default was not configurable and led to lots of customer frustration. Customers will be able to configure the default deal name within the “Create deal” form in Settings using a combination of personalization tokens and/or static text.

 

Why does it matter?

Currently the default for deal name for deals while on an existing contact and company records is that “-New Deal” is always added after either the company or contact name, which is both inflexible and contributes to poor data quality. This new functionality allows admins to configure the default experience to fit their own naming conventions and ensure data quality. Reps can spend less time on manual data entry while ensuring they’re following the right naming conventions.

 

How does it work?

  • This functionality will be available for deals created from existing contact or company records
  • Enterprise customers can also use custom object personalization tokens
  • The personalization tokens pull in field values from the contact or company record you’re on (e.g. company name)

To configure the default deal name:

  • Click the settings icon in the main navigation bar and navigate to Data Management > Objects > Deals > Setup > Creating Deals > click on Customize the 'Create deal' form
  • On the left sidebar, click on Add default values to configure the default deal name
  • Click on the Pencil (Edit) > Personalize to add additional personalization tokens
  • Click the Trash can (Delete) if you want to remove the default value for deal name and make the deal name field blank by default
  • Hit Update to check your work in the preview
  • Click the Save button in the top right corner to apply your changes

To set the default deal name as blank:

  • Navigate to the Add default values panel on the left and click the Trash can icon > Remove > Save to delete the default
  • This will make it so that the deal name field is blank by default and can be filled in manually in the deal creation process off an existing record page

Note: Currently, when there are multiple personalization tokens used in the default deal name and not all tokens are available for the record, the deal name will populate with whichever tokens and/or text is available.

The default deal name for a contact is the Company name - New Deal

@GrahamSmith yes, I see now, you are correct, if you create the deal from the contact record it uses the default name still, but if you create a deal from the deal pipeline and associate the contact as part of the setup, the deal name is blank and you can make it what you want - you do have to type it manually either way though.  Not sure it is worth changing your process on creating deals because of this.

One thing you might try is to set up a snippet with the personalization tokens you want in the deal name, then have your sales team add the snippet to a note or comment, copy it and then paste it when they create the deal. It's the only shortcut I can think of to avoid having to type out the deal name directly.

 

Maybe someone else in the community will have more insight 🙂

@GrahamSmith I found this idea that says it is not currently planned to change the defaults, but it is also quite old (2017).

 

Could you share what the default deal name is showing as when you create a new deal?

 

I tested in our portal using 3 different pipelines and our deal name default is blank, but I can't find a setting that is controlling this. I've verified this behavior in three different accounts with different subscriptions.
