Solution: Fix for CRM Contacts Not Syncing Correctly in HubSpot

Hey everyone,

I ran into an issue recently where new contacts weren’t syncing properly in HubSpot’s CRM. Some records were updating, but others weren’t showing the latest information from our forms and integrations. After some digging, here’s what fixed it for me:

  1. Checked the integration settings — It turned out the sync was only set to update existing properties if they were blank. I changed this so HubSpot would always overwrite outdated values.

  2. Verified property mappings — A few fields were mismatched between HubSpot and our connected app (like “Email Address” vs “Primary Email”). Once I corrected those, data started aligning properly.

  3. Reset the sync connection — Disconnecting and reconnecting the app forced a clean resync of all records.

  4. Tested with a new contact — I created a new record through our form to confirm everything flowed correctly into HubSpot.

After these steps, all CRM data began syncing perfectly. 
Hopefully this helps anyone else running into the same problem. HubSpot’s CRM is super powerful, but a few small settings can make a big difference!

Hi @JLumbos , thanks for sharing this. Small sync rules like “update only if blank” trip up a lot of teams, and your breakdown is a good reminder of how easily HubSpot can look out of sync even when the connector is technically running.

 

One thing I’d add for anyone double-checking their setup is to look at the property change history after adjusting mappings. It shows exactly which system last wrote each field and helps confirm whether the integration is still allowed to overwrite values or if a workflow, import, or API call is taking priority.

 

The data sync health screen is also useful when you reconnect an app because it surfaces any lingering field incompatibilities before they turn into stuck records.
