Emails not tracking - Woodpecker

Hello all,

 

we have a problem with some of our users: mails are not tracked, logged, and assigned to the corresponding contact in HubSpot.

 

The setup is as follows:
1. we uploaded the contacts to our CRM

2. our hubspot has a few users registered to hubspot, however, we use more emails to do email outreach (we have several aliases and alternate domains)
3. we send out mails via Woodpecker in the name of our user, these emails are NOT registered in the platform as we have several emails per user
4. the recipients reply and their mails end up in the Gmail inbox of our user.
4. the outgoing and the recipient's email should be synchronised between Gmail and Hubspot - which does not work. there are no logged emails 

 

How can we have our woodpecker emails logged?

To ensure your Woodpecker emails are logged in HubSpot, integrate Gmail with HubSpot and enable the HubSpot BCC address when sending emails via Woodpecker to automatically log them to the corresponding contact. Also, make sure the HubSpot Sales email extension for Gmail is installed to track both incoming and outgoing emails. Verify that email sync settings are correctly configured in HubSpot, and test with a single alias to ensure proper logging. If needed, manually forward sent emails to HubSpot’s forwarding address as an alternative.

It seems emails sent via Woodpecker aren’t logging in HubSpot due to unregistered aliases/domains. HubSpot typically tracks emails only for registered user addresses or verified domains.

 

First, verify all sending domains/aliases in HubSpot’s settings. If emails are sent from non-user addresses, add them as secondary emails for your users (Settings > General > Email > Add email alias).

 

For Gmail replies, ensure the inbox is connected to HubSpot. Woodpecker may also need specific tracking parameters; check their integration docs with HubSpot.
