Hubspot emails sent with from Owner (Salesforce Integration User)

For Contacts records that are being synched to SF, The record owner is set to the SF Integration user.  Thus when a marketing email is sent out it has the from address as SF Integration User - so the user is seeing the email with the integration name and a related SF email. @ckokayi all records synced from HubSpot without an assigned owner that is in sync with Salesforce will have the integration user as the owner.

 

To fix:

  • Make sure you have an automation in place to assign owners in Salesforce once the records sync from HubSpot to Salesforce.
  • Then, import all Users from Salesforce to HubSpot.
  • Finally, check the field mapping for the owner to Prefer Salesforce Unless Blank.

 

Finally, confirm that the email address the email is being sent from is dynamic for the contact owner rather than set to the integration for all senders. Just to ensure a mistake wasn't made there.

From which user would you like to send this email?
If you are using the HubSpot - Salesforce integration it should be possible to sync the owners from Salesforce to HubSpot. This shoul enable you to send the emails from the owner's name.

Looks like I'm a little late to respond, but @LaurenRyan 's post sums up the proces very well.

 

It's also crucial with the Salesforce integration that you always have records be owned by active Salesforce users.  Records owned by inactive Salesforce users are one of the most common sources of sync errors.  It's highly recommended, therefore, that you have good processes in place to reassign records when users leave.
