Best Practices - List Syncing

SOLVE

Does anyone have any tips/tricks around list syncing between Dynamics CRM and HubSpot? Would rather not create custom variables for every list we are trying to bring over. Is the only option manual upload?

Quick 2025 update. There’s still no native “list-to-list” sync between Dynamics 365 and HubSpot.

The HubSpot-built app syncs records and fields, not lists, though it now also lets you create Dynamics sales orders from HubSpot deals or workflows (https://knowledge.hubspot.com/integrations/connect-hubspot-and-microsoft-dynamics-365).

What works cleanly is a tag pattern. Enroll members of your HubSpot list into a workflow and set one multi-select property like Segments = “Webinar Jun 2025”. Map that to Dynamics and rebuild your segment there as a view or marketing list

Same idea in reverse: keep a flag in Dynamics and let HubSpot build an active list from that synced field. The action you’ll use is “Set property value” (https://knowledge.hubspot.com/workflows/choose-your-workflow-actions). 

If this is about webinars or events, lean on Marketing Events instead of CSVs. Zoom, GoToWebinar, and Eventbrite push registrants and attendees straight into HubSpot so your segmentations stay fresh (https://knowledge.hubspot.com/integrations/use-marketing-events).

For what it’s worth, we built Stacksync for this exact gap. We carry segment flags both ways in real time without one field per list, and teams usually cut integration busywork by ~40%

I'd also be interested in understanding the possibilities. 
I'd be interested in this as I could sync a static list in HS to Microsoft Dynamics CRM of webinar attendees to MSD, registrations from an event and lists to that effect.

Hi Bjorn, 


I responded in another post about Dynamics to HubSpot, but the same is true of the reverse direction. 

The Microsoft Dynamics 365 integration, doesn't have a list sync at the moment. 

What you could do in HubSpot is use a workflow to "tag" contacts in the static list with a custom property.

 

When those contacts sync over to Dynamics as leads or contacts, you could use that "tag/custom property" as a criteria for rebuilding your list in Dynamics. 

 

(If you are using HubSpot for webinar / event registration, we do have a Marketing Events object and HubSpot-built integrations that sync webinars from a handful of 3rd party apps to HubSpot.)

I see, I'll remember that for when I do sync over contacts form our physical events or webinars .

 

Is HS looking at any point looking to build the functionality to sync lists?

Have we thought about list sync? Absolutely. It's come up a handful of times from customers. 

 

Is this on the near-term roadmap, no. We've heard other customer problems come up more often. 

 

Now, if we continue to see a lot of upvotes on this thread and folks add their use cases and why it's important, that could change. 🙂

Thanks all – we currently are upgrading our CRM from on-prem, where we have built out the integration with LyntonWeb and are moving to a cloud integration This was a research question to understand what capabilities are out there to sync static or dynamic lists from our CRM to HubSpot.

We don't have a "sync List A in Dynamics to List in HubSpot" where you'll automatically have a static or dynamic list created. 

What you could do is "tag" the contacts in a list and use that as a criteria for rebuilding your list in either system. 

What's the use case for needing lists transferred between systems? Are you taking segmentation in Dynamics and using it for marketing campaigns in HubSpot?

Hey @GWalsh this really is down to how you're currently syncing dyanmics with HubSpot. Are you using a pre-built integration? From looking at the HubSpot built one it looks like this just syncs objects and not lists, so a contact would sync to a contact, a company to an account etc. I don't see specific list syncs outlined here. 
Are you using this integration or is it a third party one or a custom integration?

Like asked earlier in the thread - would need more information on current
sync tech being used.. as well as what is meant by 'lists' in this
particular context. HubSpot Lists? Active/Static? Dynamics?
