Has anyone else had the wrong email go out via a workflow? If so, how did you find out why that email was sent?

I created a a nice workflow, checked it 3xs and let it go. Then I find out that yesterday an email from a different campaign that is not live yet was sent to that list.

Hi @BMiller46,

HubSpot provides the tools for troubleshooting - let’s try and get to the bottom of this.

When you go to the contact record, you should find the automated email there. When you click on it, HubSpot will take you to the overview page of that email - on this page, you should see which workflow references it:

 ![karstenkoehler_0-1708449492463.png](https://d2qpr2jzcazej7.cloudfront.net/original/3X/c/c/ccea14e1c862e4a7378ddaee135e10077d3f7dbc.png)

Once you’ve found the workflow, navigate to the workflow details page: [Understand your workflow details page](https://knowledge.hubspot.com/workflows/understand-your-workflow-details-page)

On this page, you can filter the actions by your affected contact:

 ![karstenkoehler_1-1708449553750.png](https://d2qpr2jzcazej7.cloudfront.net/original/3X/5/3/5328ca7cb4d301b9a033c8919db1cfbbc5191d1c.png)

You would now compare the actions they went through and the actual workflow design (“Edit actions”) to understand why this email was sent.

Best regards!

Thank you, the workflow acted perfectly, the email that went out was not one that was in the workflow to begin with. That is what I’m trying to see when that email was changed in the workflow.

@BMiller46 at which point during my troubleshooting steps exactly do you see the discrepancy then? If you’re saying the email is not in the workflow, then the step from my first screenshot must be a dead end? Or are you seeing a different workflow there?

Please keep in mind that I’m troubleshooting this remotely, without access to your portal. The more details you provide, the faster you’ll get a solution.

Have you checked whether the automated email has been updated so that the latest changes are actually published? That might be a reason you’re thinking a different email is being sent - if the latest changes shown in the editor aren’t published yet.

The workflow was built with 4 emails, we will call them 1,2,3,4 and set active.

Emails 1,2,3 went out fine, a fourth email then went out, but it was not the email 4 I programmed to be in there, it was an email from a different campaign. One that was not yet approved, though was sitting live in our que for a different workflow.

@BMiller46 you’re not answering my questions unfortunately.

Am I understanding you correctly that the email that’s logged on the contact record is indeed the fourth email in the workflow - but the sent email doesn’t correspond to what you would expect the email to look like?

If so, see my previous replies, it seems like this email has unpublished changes. You need to click the review and publish option in the top right corner.

If that’s not it, please provide screenshots and please review again my troubleshooting steps to let me know exactly where you’re seeing the discrepancy.
