Workflow to avoid a Deal with no associated company

Hi, colleagues,

We had a case when a Deal in a pipeline appeared without an associated company. I want to avoid it moving forward and checked - Settings=> Deal=>Pipeline option to set up an associated company property as mandatory for each Deal stage, but didn’t find it.

Instead, I created a workflow to notify me as a Deal Owner via email once any Deal (LAND) is at any stage. For more than 1 hour, no company is associated with a Deal - an email notification will be sent. Is my logic below correct?

Hi @ISmolin,

No, but this is a common mistake. Your workflow will enroll deals which have an associated company – but the company does not have a name. In other words: your workflow would only enroll deals associated to nameless companies.

Here’s what I would do:

  • Create a deal list of deals which are associated to a company (filter by company Create date is known or Record ID is known): Create segments
  • Enroll deals which are in one of your specified stages AND not a member of the list

Also, don’t forget to unenroll records who do not meet the enrollment criteria anymore, or add a branch to check for list membership again before sending the internal notification. If you don’t do that, a company might have been added within that hour and the notification would still send.

Thanks @karstenkoehler I appreciate your support and prompt response, but is it not too complicated for such an easy task? Do we at HS really not have an option to make associated company property mandatory for each Deal stage? (I was not able to find it).

On an Enterprise level, there are workarounds, but there is no out of the box feature for required associations by stage.

Just to add that a way to isolate deals where the associated company is unknown is to use Segments (Lists), which you can then use for workflows, reports, saved views, deal tags and so forth.

  • Segment 1: Create a Deal List of all deals with associated primary company where the record ID is known. This gives you a list of all deals with the associated primary company.
  • Segment 2: Create another list of all deals but where list membership is none of Segment 1.

Use Segment 2 in views, tags, workflows etc.
