Workflow re-enrollment for notes on company pages

There used to be a workaround for this, but it is no longer working.

I’m looking to trigger an internal email every time someone leaves a note on a company page. It works fine, but the problem is that it only works once. There is no re-enrollment for note-based triggers. You used to be able to add companies to a list and use that as the trigger, but that doesn’t work anymore either.

What can we do now if we need trigger a workflow for every note that’s added to a company page?

Hi @PedalingPics,

You could try to reenroll based on “Number of sales activities is known” AND the association to one note with a create date less than 1 day ago.

It would fire more often that it’s supposed to so it’s usefulness depends on what exactly your workflow is going to do.

Best regards

I’m not seeing the option to trigger by # of sales activities in company properties. That is available for contacts, but not companies. These are for notes on company pages.
Also, I did try changing the trigger to a random Company property (Company Owner is Known) AND associated note create date is less than 1 day ago. Same problem.
Any other ideas?

Hello @PedalingPics!

Thanks for posting in the Community!

I see that you’re looking to trigger a workflow anytime a note is created on a Company Record. Following the same approach that @karstenkoehler suggested, you could use the Company property 'Last Activity Date’ As noted in this article here, it states; “Last activity date: the most recent already past date and time a note, call, tracked and logged sales email, meeting, LinkedIn/SMS/WhatsApp message, or chat was logged on the company record.”

With this in mind, you should be able to achieve the same end goal with the concept that Karsten has suggested, which is likely going to be the closest we can get here.

As Karsten has noted, this Workflow will likely trigger more than you’d ideally like. This is because it will only take one re-enrollment criteria to re-enroll. We can find more on that concept here!

I hope this helps!

Thanks, that does get me closer to the goal. But you’re right that it would fire way too frequently because of the single re-enrollment criteria. It’s also not possible to target specific recipients with different workflows, based on specific company properties.
I see the article you linked to that outlines some of the limitations here, but I’m still really frustrated with those limitations. This is not the first time HubSpot has imposed what seem to me to be counter-intuitive limitations on workflows. Can you or anyone on your team explain why we can’t re-enroll with note-based properties, why we can’t re-enroll with multiple criteria, and why we can’t re-enroll based on list membership?
Any insight would be appreciated.

Hi @PedalingPics,

Thanks for the response! Currently Segment/List Membership can be used as re-enrollment criteria for Contact-based workflows, as seen here!
Regarding Notes (and other activities) or cross-object filters, these are likely unavailable for the same reasons mentioned earlier. It seems likely this was intended to help mitigate the risk of unintended enrollments.
I can absolutely see the value of this of having this functionality and encourage you to consider creating a post on our Ideas Forum here. If you find a similar idea, give it an upvote and share your unique use case in the comments!
Thank you for your understanding!
